Job summary

A prominent HR firm in Malaysia is seeking an experienced Human Resources and Administration Officer to manage HR activities, ensure compliance with Malaysian labor laws, and support end-to-end recruitment processes. The ideal candidate will have a Bachelor's degree, 1-2 years of HR experience, and be fluent in both English and Malay. This position offers a dynamic work environment within a supportive team.

Qualifications

Job description

Responsible for the full spectrum of HR- and administrative-related activities.

Maintain and update employee records such as personnel files, leave, attendance, and performance appraisals.

Monitor and track probation status and support the confirmation process.

Handle all HR documentation, such as employment contracts, confirmation letters, resignation acceptances, and internal memos.

Prepare and issue employment contracts for Malaysian staff, ensuring compliance with current labor law requirements.

Understand and assist in managing processes related to foreigner/expatriate workers, including documentation, permit tracking, and policy compliance.

Assist with end-to-end recruitment: posting job ads, screening, scheduling interviews, and managing hiring documentation.

Facilitate onboarding and induction for new hires.

Support training and development programs, including grant applications, pre-training submissions, and post-training evaluations.

Stay up to date with Malaysia’s labor laws and ensure compliance with all employment regulations.

Perform other ad hoc HR and administrative duties as assigned.

Job Description

Bachelor’s degree in human resources, business administration, or a related field.

1-2 years of HR experience, with exposure to Malaysian payroll, labor laws, and statutory compliance.

Fluent in English & Malay (written/spoken).

Proficient in MS Office; familiarity with HRIS/payroll software (e.g., SQL Payroll, BrioHR) preferred.

Strong understanding of the Malaysia Employment Act, EPF/SOCSO/EIS regulations, and foreign worker processes.

Detail-oriented, organized, and able to multitask in a fast-paced environment.
