Job description

The Head of Facilities manages and maintains the school’s physical facilities, resources, and services to ensure the proper operation of all building aspects, creating an optimal, safe, and cost-effective environment for occupants. This role includes strategic facilities planning, maintenance, renovations, health & safety compliance, and end-to-end project management of facility-related initiatives. This role will also include involvement in the new TISKL Sports Complex development project in terms of assisting in planning, site/school logistics and implementation of the project.

Responsibilities
  • Facilities Maintenance & Operations

    Develop and implement strategic preventive maintenance plans to ensure long-term asset functionality.

    Oversee and coordinate facilities maintenance, ensuring tasks are completed on time, within budget, and to required standards.

    Review and manage vendors for facilities maintenance services, ensuring contract compliance and performance.

    Manage school landscaping, waste disposal, pest control, and outsourced cleaning services and catering services.

  • Project Management of Facilities Improvement & Renovation

    Lead end-to-end project management for facility upgrades, renovations, and new installations, ensuring timely execution, budget adherence, and quality control.

    Solicit bids, evaluate proposals, and recommend vendors for maintenance, renovation, and equipment procurement.

    Coordinate with architects, consultants, contractors, and internal stakeholders to ensure projects meet school requirements.

    Monitor project timelines, risks, and deliverables, providing regular updates to leadership.

    Ensure all renovations comply with safety regulations, accessibility standards, and sustainability practices.

  • Facilities Management & Compliance

    Manage physical resource bookings and facility hiring for school and external events.

    Oversee school vehicle maintenance, utilization, and compliance.

    Monitor outsourced cafeteria services for hygiene and contractual adherence.

    Maintain facility records, warranties, and documentation for audits and compliance.

    Evaluate service provider performance, ensuring contractual obligations are met.

    Build partnerships with government agencies, regulatory bodies, and vendors.

  • Health, Safety & Security

    Manage fire protection systems, emergency evacuation procedures, and security services.

    Oversee CCTV, intruder detection, and parking/traffic management.

    Identify and mitigate health & safety hazards across campus.

    Ensure renewal of safety certifications per statutory requirements.

  • Budgeting & Reporting

    Contribute to the annual facilities budget, aligning with school priorities.

    Monitor budget utilization, ensuring cost efficiency.

    Prepare analytical reports, project updates, and facility performance metrics for leadership.

  • New TISKL Sports Complex Project Development

    Assist in planning, site/school logistics and implementation of the project, including construction and fit-out of the project.

    Coordinate and communicate relevant site/school logistics with school leadership and stakeholders, including marketing / communication team

    Attend all relevant project and site meetings

Minimum Academic/Professional Qualification

Degree in Facilities/Building Management or in the relevant specialized field.

Related Experience

At least 5 years experience in facilities/building management and maintenance, preferably in an education institution or service industry.
