JOB DESCRIPTION
- Manage day-to-day administrative tasks including document filing, correspondence handling, inventory control, office supply procurement, and ensuring smooth office operations.
- Assist the Finance Manager with GSAP, Oracle, and SAP systems for finance operations such as accounts payable, general ledger maintenance, cost tracking, and reporting.
- Support finance activities including invoice verification, payment processing, and payment collection updates to ensure timely financial transactions and reporting accuracy.
- Assist in vendor management by monitoring contractor/service provider performance, tracking SLAs and KPIs, and contributing to cost control and profitability planning.
- Maintain up-to-date registers of insurances, licenses, and compliance certificates, ensuring full adherence to statutory, safety, health, and environmental regulations.
- Respond to client inquiries promptly and professionally, while identifying and suggesting improvements to prevent recurring issues and enhance service efficiency.
- Provide administrative support for site operations, including the use of ECMP systems, performance data tracking, and resolving facility-related compliance issues.
- Maintain proper administrative records, assist in preparing client presentations, proposals, and support month-end/year-end closing and internal reporting processes.
- Foster effective communication and collaboration between site teams, head office, vendors, and clients, ensuring cohesive teamwork and resolution of operational issues.
- Use Edgenta Smart Connect and other company tech platforms proficiently to support operational performance tracking and administrative process improvements.
Requirements
- Diploma or Degree in Administration, Business Management, or related field.
- Minimum 4 years’ experience in administrative or business management roles.
- Proficient in Microsoft Office, with skills in preparing reports, presentations, and business improvement plans.
- Experience with SAP and Oracle systems is an added advantage.
- Strong administration background with the ability to manage operational tasks effectively.
