University of Southampton Malaysia is seeking to recruit a dynamic Front Desk Officer to be based in Johor Bahru.

Job Description

This role serves as the first point of contact for students, parents, and visitors at the University of Southampton Malaysia. It plays a key role in supporting the operations of the Student Administration and Admissions Office by delivering a friendly, organised, and efficient front-line service. The position is responsible for managing front desk inquiries, assisting with student conversion activities, and ensuring the maintenance of accurate and up-to-date filing and administrative records.

Responsibilities

  1. Front Desk Management:
  2. Greet and assist students, parents, and visitors promptly and professionally.
  3. Respond to in-person, telephone, and email inquiries regarding admissions, programmes, students, and university services.
  4. Provide accurate information and direct inquiries to the appropriate departments or personnel.

Customer Service:

  1. Provide exceptional customer service to all students, staff, and visitors.
  2. Handle complaints or issues promptly and escalate them to the appropriate personnel when necessary.
  3. Assist students with general inquiries about campus resources, events, and services.

Student Conversions:

  1. Support the student admissions team in converting prospective students to enrolled students.
  2. Assist in following up with prospective students through phone calls, emails, and other communication channels.
  3. Schedule and coordinate campus tours, interviews, and information sessions for prospective students and their families.
  4. Provide information on application status and admission requirements to prospective students.

Administrative Support:

  1. Assist with the preparation and processing of admission and applications documents, student administration forms, and letters.
  2. Maintain and update student records and databases accurately.
  3. Coordinate and manage the filing system for student records, ensuring all documents are filed correctly and are easily accessible.
  4. Handle incoming and outgoing mail and deliveries related to student administration.

General Office Support:

  1. Assist with the organisation and coordination of student orientation registration and university events.
  2. Prepare and distribute informational materials, brochures, and application forms.
  3. Support other administrative tasks as assigned by the Student Administration and Admissions Office.

Requirements

  1. Minimum diploma or equivalent in any field with minimum 1 year experience in a customer service or administrative role, preferably in an educational environment.
  2. Excellent verbal and written communication skills in English and Malay.
  3. Friendly, professional demeanour and the ability to multitask effectively in a fast-paced environment.
