Job description

Sarawak Science Centre (SSCiEX) is a Government-Linked Company (GLC) established to promote STEM (Science, Technology, Engineering, and Mathematics) awareness, education, and engagement across Sarawak, is seeking a detail-oriented and proactive Finance Executive.

The successful candidate will support the Procurement and Finance Department by executing and managing the procurement process in compliance with company policies, government-linked company (GLC) guidelines, and regulatory requirements.

This role involves sourcing, evaluating, negotiating, and managing supplier relationships to ensure cost-effectiveness, transparency, and timely delivery of goods and services essential for the Centre’s operations, programs, and STEM initiatives.

What you'll be doing:

Procurement Operations

Manage end-to-end procurement activities.

Ensure procurement is carried out in accordance with internal policies and procedures.

Evaluate, and register reliable suppliers and service providers.

Maintain an up-to-date supplier database and evaluate supplier performance (price, quality, delivery, and service).

Liaise with requester / vendors on procurement needs, pricing, and terms of delivery.

Compliance & Governance

Ensure all procurement activities adhere to procurement policies, transparency standards, and audit requirements.

Maintain complete and accurate documentation for all procurement transactions for audit and reporting purposes.

Cost Control & Budget Monitoring

Support the Finance Department in monitoring procurement expenditures against the approved budget.

Assist in budget planning.

Assist in the preparation of tender documents, evaluation of bids, and coordination of tender committees where applicable.

Draft and manage procurement contracts and agreements in coordination with legal and management teams.

Inventory & Asset Coordination

Coordinate with store personnel or asset custodian for stock and asset recording where applicable.

Reporting & Documentation

Prepare periodic procurement reports for internal use and for submission to relevant stakeholders or authorities.

Maintain proper filing and record-keeping of procurement documentation, including quotations, purchase orders, and delivery notes.

Process Improvement

Contribute to the continuous improvement of procurement systems, vendor management, and cost control processes.

Recommend enhancements to improve transparency, speed, and efficiency in procurement activities.

Stakeholder Coordination

Work closely with internal departments to understand procurement needs and ensure timely supply of goods/services.

Act as a liaison between suppliers and internal requesters.

What we're looking for

Bachelor’s Degree or Diploma in Business Administration, Supply Chain Management, Procurement, or related field.

Minimum 2–3 years of experience in finance, procurement or supply chain management.

Experience in a GLC or public sector organization is an advantage.

Solid understanding of procurement practices, compliance procedures, and budget controls.

Strong negotiation and supplier relationship management skills.

Proficient in Microsoft Excel and procurement/accounting systems (AutoCount, SAP, or similar).

High attention to detail and documentation accuracy.

Good communication skills in English and Bahasa Malaysia.
