Job Description
Background and Objective
- The Finance & Accounting Manager’s role is pivotal within the management team, assuming principal responsibility for the business’s financial management, accounting and reporting.
- The Finance & Accounting Manager will manage a team providing accounts payable, accounts receivable and procurement management.
- The Finance & Accounting Manager is responsible for ensuring that budgets are set and targets are achieved by liaising with all team members. You will also be responsible for maintaining the highest standards of financial management, compliance and ethics.
Required Attributes, Experience and Qualifications
- Degree qualified with CPA / CA Qualifications.
- A high degree of independence is required on a day-to-day basis but will be responsible to the Head of Department for operating within specific contractual boundaries.
- An ability to communicate with people at all levels.
- A positive approach to meeting Client’s needs whilst managing Client’s stakeholder expectations.
- A demonstrated ability to prioritize work.
- Experience in commercial real estate management or a relevant related sector.
- Demonstrated high ethical standards
- Ability to develop a strong understanding of our financial database system including modules for income and expenditure, recurring billings and sundry (ad hoc) invoice preparation, monthly re-forecasting and (if required) asset plan modelling software, among others.
- Strong Excel skills with experience of pivot tables, lookups and multi-dimensional formulas.
- Staff mentoring and supervision skills are essential.
ACCOUNTABILITIES
The main responsibility of the Finance and Accounting Manager is to direct and manage the delivery and management of financial reports. This includes coordinating the preparation of the monthly Client reports and the annual budget/s for the business.
Daily/Continuous
- Review and post accounts payable invoices for the site through the financial system, such that the invoices are ready for approval by the Head of Department and released for payment in accordance with contractual payment terms.
- Updating budgets and forecasts as required and providing variance commentary.
- Preparing transfers for monthly Client distributions.
- Liaison with vendor accounts team to clear up any billing and payment issues so that services continue to be provided in a timely manner.
- Maintaining detailed financial documentation and systems to preserve Client financial history and meet government regulations and legislation.
- Conducting ongoing transaction audits, including reviewing data in the financial system aligns with original documents.
- Control corporate debt.
- Maintain policy and procedure documentation for the site as it relates to Finance and supervise compliance.
Monthly
- Preparation and review of financial and administration sections of Client reports as required.
- Prepare and / or review general ledger & balance sheet reconciliations.
- Providing data to enable review of actual expenditure against budget to ensure that the business is operating within budget constraints approved by the Client.
- Review general ledger entries for the month as recorded in the financial management system for completeness and accuracy.
- Review head office internal cost allocations to ensure completeness and accuracy.
- Ensure relevant fee and recharges have been claimed from the Client.
- Review and approve transaction roll. This includes ensuring that revenue has been recognized accurately by performing checks to latest system model (if required) and document abstracts.
- Review tax reports generated by system for completeness and accuracy.
Quarterly
Business Reporting
- Co-ordinate the updating of quarterly forecast worksheets to derive the final expenses and revenue for the financial year.
- Contribute financial reporting for the Client’s Quarterly Report.
Yearly
Business Budgets
- Preparation of the business’s budget, including organizing the team to deliver successful internal and owner budget review meetings (where the budget is thoroughly assessed for reasonableness).
JLL Budgets
- Preparation of the business budget and the future 2-year forecasts.
Valuation Brief
- Assist in the collation of documentation to support the valuation brief for independent valuers.
Financial Year End Requirements
- Preparation and review of end of year reports required to be submitted to the Client for their yearly reporting requirements.
- Engage and work closely with independent auditor/s to meet legal, corporate and Client requirements.
- Assist with any tax reporting for the Client.
General
- Proactively oversee all financial transactions and raise concerns in an appropriate and timely manner
- Act as the primary contact for interaction with all parties to keep financial documentation current and accurate.
- Assist head office with special projects when requested.
- Educate the team on financial issues including accrual accounting
- Respond to external auditor and authority audit queries on a timely basis.
- Financial compliance by ensuring preventative and detective controls are in place and are being adhered to.
- Participate in the department and corporate EH&S program.
Key Result Areas:
- Consistent delivery of all Client and corporate reports to meet delivery milestones and to high quality and accuracy levels
- Preparation and lodgment of annual business’s budgets to meet delivery deadlines
- Demonstrable record of monthly processing of all corporate fee and recharge processing
- Proactive management of corporate and department’s arrears
- Accurate reflection of the business finances and transaction schedule
