The Position

We are seeking a detail-oriented and organized Finance & Administration Coordinator to support our financial and administrative functions.

The ideal candidate will be responsible for providing financial operations, maintain accurate records, assist in financial planning and reporting, administrative assistance, and clerical skills to support project teams. Tasks include is a mix of accounting, budgeting, and administrative support. This role is crucial in ensuring the smooth operation of our financial processes and compliance with regulatory standards.

The KEY responsibilities of this role are as follows:

Financial Administration:
    • Process invoices, payments, and receipts in a timely and accurate manner.
    • Manage accounts payable and receivable, ensuring accuracy and timely resolution of discrepancies.
    • Reconcile bank statements and prepare financial reports as required.
    • Assist with budget preparation, monitoring, and analysis. Documentation:
    • Prepare and maintain QA/QC reports, inspection checklists, and non-conformance reports (NCRs).
    • Manage and organize project quality records, test results, and certificates of compliance.
Record Keeping:
    • Maintain up-to-date financial records and documentation in compliance with company policies and legal regulations.
    • Organize and archive historical financial data for audits and reference.
Payments & Reimbursements:
    • Process claims accurately and on time.
    • Handle incoming and outgoing invoices.
    • Make sure payments are made and received on time.
Administrative Tasks:
    • Schedule meetings and appointments (if required)
    • Help prepare regular reports.
    • Support buying processes and manage vendors.
    • Work with auditors and banks.
    • Keep track of contracts and financial documents.
Compliance and Support:
    • Ensure adherence to company policies, procedures, and legal requirements.
    • Support the project team with other administrative tasks as required.
    • Ability to handle sensitive information with confidentiality
The Person

Successful candidates will have an ability to work both independently and within a team to achieve the required targets.

Successful candidates will also demonstrate the following skills:

Qualifications:
  • Bachelor’s Degree in Finance, Accounting, Business Administration, or a related field.
  • Min 3 years of Accounting / Financial role.
  • Added advantage with experience in project coordination or administration.
  • Added Advantage for Mandarin speaker.
  • Added Advantage for relevant certification (e.g., ACCA, CPA).
Experience:
  • Proven experience in finance administration, accounting, or a similar role (3 years preferred).
  • Familiarity with financial software (e.g., QuickBooks, Xero, AutoCount, SAP).
Skills:
  • Strong proficiency in MS Office, particularly Excel.
  • Excellent numerical and analytical skills.
  • Strong organizational and multitasking abilities.
  • High attention to detail and accuracy.
  • Effective communication and interpersonal skills
