Position Summary

We seek a driven and committed individual to take on the role of Finance & Admin Executive at Ignite. This dual-focused role involves providing coordination and administrative support to ensure smooth operations, along with responsibilities in financial management and accounting to maintain accuracy and integrity.

Key responsibilities include:

  1. Maintaining accurate and up-to-date financial records.
  2. Generating Monthly Profit & Loss Statements, Balance Sheets, and Cash-Flow Reports.
  3. Establishing, maintaining, and coordinating the implementation of accounting procedures and controls.
  4. Handling supplier invoices, ensuring accurate processing and timely payments.
  5. Tracking customer payments and following up on outstanding invoices.
  6. Analyzing expenditure trends, recommending budget levels, and controlling expenditures.
  7. Developing and maintaining financial databases, software systems, manual and digital filing systems.
  8. Coordinating with external auditors during annual audits.
  9. Performing monthly bank reconciliations.
  10. Monitoring and managing cash flow to ensure liquidity.
  11. Processing monthly payroll, including salaries, allowances, and statutory deductions.
  12. Ensuring compliance with EPF, SOCSO, EIS, and PCB requirements.
  13. Coordinating external audits and ensuring timely reporting.
  14. Liaising with auditors, tax agents, and secretarial agents for filings.
  15. Managing GST/SST compliance and reporting (if applicable).
  16. Managing e-Invoicing processes and requirements.
  17. Ensuring compliance with Malaysian Financial Regulations and Standards.
  18. Maintaining payroll and staff records (leave forms, appointment letters, etc.).
  19. Collaborating with stakeholders, providing support and feedback.
  20. Assisting in overall operations and undertaking other duties as assigned by the Operations Manager.

Required qualifications:

  1. Diploma or degree in accounting.
  2. Minimum of 2 years' relevant industry experience; management experience is preferred.
  3. Ability to work independently and resolve problems effectively.
  4. Proficiency in Google Workspace, Microsoft Office, and general technology.
  5. Fluent in spoken and written English.
  6. Mandarin speaking is an advantage.
  7. Excellent organizational skills with meticulous attention to detail.
  8. A strong sense of accountability and responsibility.
