The Facilities & Project Manager oversees reactive and preventative maintenance and supports projects for new clinics and commercial offices across Australia and New Zealand.

This role collaborates with the Head of Group Property (HOGP), Lease Administrator (LA), Project Manager Design & Construction (PMD&C), and the Network Optimisation Implementation Team to manage property-related matters across all William Demant entities in the region.

Your Main Responsibilities and Tasks:
  • Provide administrative support to the HOGP
  • Assist in preparing the annual budget plan
  • Manage all reactive and preventative maintenance across retail and commercial properties, including:
    • Essential services (utilities, electrical, fire, air conditioning)
    • Plumbing, electrical, carpentry, gardening, cleaning
    • Locks, keys, and security services
    • Water filters, hydro taps, hot water systems
    • Waste management
    • Emergencies and insurance claims
  • Ensure compliance with statutory obligations
  • Manage contractor relationships
  • Oversee relocations, including hearing booths
  • Prepare maintenance plans and budgets
  • Handle clinic procurement as needed
  • Maintain Sound Level Meter (SLM) equipment and annual calibrations
  • Liaise with internal and external stakeholders (staff, landlords, solicitors, insurance companies, managing agents)
  • Manage invoices, resolve issues, and ensure accuracy for maintenance, utilities, and third-party vendors
  • Oversee external providers to meet business requirements on time and within budget
  • Maintain utilities contracts (connections and disconnections)
  • Provide monthly reports, including variance reporting
  • Perform other duties as required
To Qualify for the Role:
  • Minimum 5 years’ experience in facilities management, preferably in a multisite retail environment
  • Strong knowledge of building practices, cost management, architectural design, and mechanical engineering
  • Experience engaging vendors and external providers
  • Understanding of property laws, licensing, and permits within local councils
  • Budgeting and forecasting expertise
  • Familiarity with Lease Eagle, Basware, and Trello preferred

  • Ability to negotiate effectively with property agents and landlords
  • Proven ability to build positive relationships with stakeholders, staff, contractors, and suppliers

  • Decisive decision-making under pressure, aligned with company policy
  • Strong time management and ability to meet tight deadlines

  • Willingness to learn, accept feedback, and maintain a positive attitude
  • Ability to work independently and collaboratively within a team
  • Knowledge of property laws and excellent personal presentation
