🏢 We're Hiring: Facilities Process Specialist! 🏢

We are looking for a Facilities Process Specialist to manage and service our data centre infrastructure and facilities in Johor to ensure operations procedures, documentation, and records are in place to meet our relevant certification and operational requirements, including ISO certification, Health and Safety requirements, Security Management System records maintenance, and IT requirements.

📍 Location: Sedenak, Johor, Malaysia

💼 Role: Facilities Process Specialist

What You'll Do
  • Management of compliance in data centre related ISO accreditation and the Information Security Management System. Prepare for building the ISO systems.
  • Work alongside IT support vendor, group functions, and compliance support vendor IT Governance.
  • Act as point of contact and work with the Operations team for Health and Safety across all sites and with Health and Safety vendors and training across the Operations team. Also seeking ISO accreditation for K2 data centres.
  • Support building and maintaining the Information Security Management System; prepare for ISO accreditation and other accreditation and be available for audits.
  • Monitor and report environmental and recycling waste management for sustainability and support during audits.
  • Serve as point of contact with the Facilities Lead for environmental audits.
  • Act as point of contact for IT procurement, IT licensing, support licensing, and asset management across multiple data centre sites.
  • Serve as point of contact for finance and work with the Operations team, K2 Finance, and customers on Operations budgets, billing, and customer billing.
  • Manage Operations planning for Planned Preventative Maintenance and the Computer Aided Facility Management System to generate tickets for required tasks.
  • Serve as point of contact for Security with the Facility Lead; manage physical access to facilities by security vendor.
  • Work with the Facilities Operations General Manager on Corporate Social Responsibility projects.
  • Manage all internal and external training schedules including EHS & Technical.
  • Ensure EHS policy documents and processes within the facility are maintained and escalated where appropriate.
  • Support asset management and lifecycle management of IT equipment with Ops IT Vendor and Corporate IT support.
  • Support finance purchase orders, invoicing, and budgets.
  • Plan Planned Preventative Maintenance and work on CAFM ticketing system and new ticketing system when online.
  • Control and enhance the systematic Planned Preventative Maintenance (PPM) review process with stakeholder support to ensure effectiveness.
  • Issue PPMs for all maintenance activities.
  • Maintain the CAFM helpdesk to monitor facility performance and react to issues.
  • Develop and issue reports from CAFM and monitoring systems.
  • Become a subject‑matter expert on the CAFM application and new ticketing system when online.
  • Support monitoring and reporting on physical security with security vendors.
  • Manage and complete ad‑hoc projects as assigned.
  • Prepare reports by collating, analyzing, and summarizing data; making recommendations.
  • Work internally or with other departments to increase efficiencies and reduce potential failure scenarios.
What We’re Looking For
  • Diploma in Engineering, Information Technology, or qualified certification.
  • 3‑5 years of relevant work experience; Data Centre background is a MUST.
  • Technical understanding in IT security and IT networking is an advantage.
  • Excellent document control.
  • Strong understanding of Environment, Health & Safety requirements.
  • Excellent project, planning, change, and time management capabilities.
  • Good judgement and decision‑making skills.
  • Strong organisational skills.
  • Excellent interpersonal skills and ability to communicate efficiently, both verbally and in written form.
  • Familiarity with ISO27001, ISO45001, ISO14001 preferred.
  • Familiarity with SOC 2 Type 2 is an advantage.
  • Familiarity with Microsoft Office suite.
  • Ability to use computer applications effectively.
