About the role

We are seeking a Executive / Senior Executive to join our team at Ann Joo Resources Berhad in Petaling Jaya (near Sunway City area). This is a full-time, permanent position that will play a vital secretarial and administrative support role within our organization.

Responsibilities

  • Assist in coordinating with project teams and stakeholders, supporting the initiation, planning, and execution of assigned projects.
  • Help conduct market research, analyze industry trends, monitor benchmarks, and identify opportunities to reduce costs and improve efficiency.
  • Assist with specialized and confidential projects, along with other tasks that help keep the office running smoothly.
  • Help manage office tasks, ensuring project and procurement documents and reports are organized and up-to-date.
  • Assist in building and maintaining strong relationships with internal and external stakeholders to promote effective communication.
  • Help manage the director’s calendar and correspondence, ensuring all commitments are well-organized.
  • Professionally screen calls, take messages, and ensure queries and requests are handled promptly and efficiently.
  • Assist in organizing meetings, making travel arrangements, and supporting event planning as needed.
  • Handle sensitive information with care and maintain confidentiality at all times.
  • Ensure the director’s messages are clearly communicated to the appropriate people for follow-up and action.

Qualifications

  • Candidate must possess at least aDegreein Business Administration, Secretarial Administration, Human Resources Management, International Business Management, Corporate Communications, Mass Communications, Public Relations, or a related field.
  • 2-5 years of relevant experience is preferred, particularly in secretarial administration, office management, stakeholder management, administrative tasks, internal and/or external communication, etc.
  • Skills in script writing, essay writing, memo writing, and translation will be an added advantage.
  • Proficiency in English and Mandarin (both spoken and written) is required, due to the need to communicate with Chinese stakeholders and the translation work involved.
  • Meticulous todetails.
  • Good interpersonal skills, with ability towork with people at all levels.
