Job description

Executive Secretary / Personal Assistant

Responsible for effective administration of the CEO office.

Manage, organise and set up meetings, video conferences, internal or external events.

Prepare meeting minutes, presentations, reports, proposals, resolutions, and announcements, memo, letters, or other correspondences.

Handle travel itinerary arrangement such as flights, transportation, accommodation etc.

Coordinate office or inter-company activities and operations to secure efficiency and compliance to company policies.

Maintain effective document control system encompassing database, digital storage to ensure quick and accurate retrieval of various records.

Handle CEO's claims, banking and other matters.

Ensure confidential documents are safely kept and secured.

Requirements

Minimum Qualification: Diploma / Degree in Business Studies / Office Management or equivalent.

Minimum 12 years relevant working experience, of which 5 years or more reporting to top management/ C-suite as Executive Secretary, Personal Assistant or Executive Assistant. Must have experience working in Malaysian Public Listed Companies (PLCs).

Excellent communication and interpersonal skills.

Strong command of English and Bahasa Malaysia, both written and verbal.

Able to withhold strict confidentiality and high professionalism at all times.

Able to maintain calmness and deliver quality outputs under stressful conditions.
