Job Description

The Purchasing Executive is to support the Manager / Senior Manager to ensure a smooth and efficient process of the department. This includes effective supervision and training to Executives/Assistants, implementing business guidelines and policies, formulating and executing sourcing strategies, liaising closely with inter-department personnel, demonstrating purchasing values and Company Core Values.

Duties And Responsibilities

  1. Lead respective section in handling daily activities and monitoring team performance.
  2. Manage sourcing activities for indirect materials and general items.
  3. Source for new vendors that will offer better price, quality, delivery, and services.
  4. Ensure new supplier qualifications meet the safety, technical, and commercial requirements.
  5. Handle any issues/problems by the end user.
  6. Prepare tender/RFQ documents and handle all tendering/RFQ and negotiation processes.
  7. Drive cost savings activities.
  8. Work closely with other functions to achieve the highest internal customer satisfaction.
  9. Implement and adhere to SOPs, Code of Business Conduct in the area of responsibilities.
  10. Conduct suppliers/contractor evaluations as per the SOP required evaluation schedule.
  11. Ensure purchasing assistants work according to existing SOPs and policies.
  12. Assist in driving improvements to purchasing processes, 5S, and decision support systems.
  13. Monitor and update KPI for assistants.
  14. Supervise and provide training to assistants.
  15. Carry out other duties or tasks as assigned by superior from time to time.
  16. Ensure supplier on-time delivery as per end user request.
  17. Perform inbound on progress claim orders.
  18. Maintain a proper filing system for purchasing documents.
  19. Coordinate former shipments, updating the duty exemption checklist from time to time.
  20. Prepare comparison tables for requested items for management review.
  21. Handle ISO and ensure all documents are up-to-date.
  22. Ensure the new system runs smoothly by providing guidance and support to the user from time to time.
  23. Any other tasks assigned by your superior.

Requirements

Education:

  • Bachelor's Degree in any field from an accredited University.

Work Experience:

  • Minimum 5 years of relevant experience.

Technical And Professional Knowledge:

  • Strong knowledge of procurement methods including sourcing, tendering, negotiation, supplier management, contract administration, etc.
  • Strong PC skills in MS Excel, Word, and PowerPoint.
