Job description

Executive Operations to assist the Operation Manager in ensuring the smooth and efficient administration of Carpark Management, Soft Services Operations (Housekeeping, Waste Management, Pest Control, Landscaping), and other ad-hoc tasks related to supporting daily mall operations.

Job Responsibilities

  1. Monitor and update on outsourcers' soft service attendance and discipline, and prepare monthly reports.
  2. Assist in researching and evaluating operations-related purchases, supplies, and equipment based on price, service, quality, and warranty to meet budget and implementation timelines.
  3. Prepare and maintain monthly operations expenses and income reports, and assist in preparing the yearly budget for operational expenses and income.
  4. Track and control operating expenses and income according to the approved annual budget.
  5. Manage inventory, stock ordering, and procurement of general items and tools for the operations division.
  6. Maintain records of stock inventory, general items, ad-hoc supplies, and tools.
  7. Process purchase orders, invoices, and coordinate delivery of all procurement activities for approval and submission to Finance.
  8. Coordinate regular meetings with outsourced vendors on operational issues and submit vendor performance review reports to the SOM. Attend operations meetings as required.
  9. Manage, review, renew, and evaluate contracts related to Cleaning, Waste Management, Pest Control, Landscaping, Carpark Equipment, and other operational contracts.
  10. Lead the car park team to manage operations of car park systems and ensure smooth traffic flow ingress and egress, working with outsourced teams such as valet parking.
  11. Handle defect summaries, raise work orders, and monitor repair works using the ServeDeck system.
  12. Organize and attend regular meetings with internal departments for alignment and coordination.
  13. Maintain a central filing system for all relevant documents.
  14. Prepare new SOPs for review and approval annually or as required.
  15. Perform ad-hoc duties related to administration as assigned.

Requirements

  • Diploma in Business Administration or a related field.
  • Possess at least 3-5 years of experience in Carpark Operations or Softscape Operations.
