- Assist the Operation Manager in ensuring the smooth and efficient administration of Carpark Management, soft services operations (Housekeeping, Waste Management, Pest Control, Landscaping), and other ad-hoc tasks related to daily mall operations.
Job Responsibilities
- Monitor and update the attendance and discipline of outsourced soft service providers (Housekeeping, Waste Management, Pest Control, Landscaping), and prepare monthly reports.
- Assist in researching and evaluating operations-related purchases, supplies, and equipment based on price, service, quality, and warranty to meet budget and implementation timelines.
- Prepare and maintain monthly operations expenses and income reports; assist in preparing the yearly budget for operational expenses and income.
- Track and control operating expenses and income according to the approved annual budget.
- Manage inventory, including ordering stock, general items, and tools for the operations division.
- Maintain records of stock inventory, general items, ad-hoc supplies, and tools.
- Process purchase orders, invoices, and manage delivery of procurement items for approval and submission to Finance.
- Coordinate regular meetings with outsourced vendors on operational issues and submit vendor performance reviews to the SOM. Attend operations meetings as required.
- Manage, review, renew, and evaluate contracts related to Cleaning, Waste Management, Pest Control, Landscaping, Carpark Equipment, and other operational contracts.
- Lead the car park team to manage car park operations, ensuring smooth traffic flow ingress and egress, and coordinate with the valet parking team.
- Handle defect summaries, raise work orders, and monitor repair works using the ServeDeck system.
- Organize and participate in regular meetings with internal departments for alignment and coordination.
- Maintain a centralized filing system for documents.
- Prepare new SOPs for review and approval annually or as needed.
- Perform ad-hoc administrative duties as assigned.
Requirements
- Diploma in Business Administration or a related field.
- Possess at least 3 to 5 years of experience in Carpark Operations or Softscape operations.
