JOB RESPONSIBILITIES
The Finance Executive is responsible for ensuring accurate and timely processing of payment documents within the organisation. This role involves reviewing, verifying, and approving payment requests from vendors and internal staff while ensuring accuracy and adherence to the set policies and procedures within EPF.
JOB SCOPE
1.Review and Approve Payment Requests
- Thoroughly examine payment documents, including invoices, purchase orders, and other related payment reports for accuracy and completeness.
- Validate the supporting documentation, such as receipts and contracts, to ensure compliance with internal policies and procedures.
- Cross-check payment details, such as amounts, account numbers, and payment terms, against relevant records and system data.
- Verify the appropriate authorisation and approval levels for each payment request.
- Exercise sound judgement to approve or escalate payment requests based on the organization's guidelines and policies.
2.Maintain Payment Systems and Records
- Utilize designated payment systems platforms to process and track payments.
- Ensure accurate payment data in the system, including payment dates, amounts, and relevant details.
- Ensure proper documentation and filing of relevant payment records.
3.Communicate with Stakeholders
- Collaborate with internal stakeholders and vendors to resolve any payment-related queries or discrepancies.
- Provide timely and clear communication to stakeholders regarding the status of payment requests and any required actions.
- Assist in addressing payment-related issues, including payment delays, errors, or disputes, in a professional and efficient manner.
- Provide advisory services on the payment process.
4.Compliance and Audit Support
- Ensure compliance with financial regulations, internal controls, and company policies in all payment processes.
- Support internal and external audits by providing accurate payment records, documentation, and explanations as required.
- Assist in implementing improvements to payment procedures and controls to enhance efficiency, accuracy and compliance.
5.Digitalisation and Business Improvement
- To continuously analyse and benchmark the current process and suggest improvement
- To continuously improve digitalisation toward paperless and elimination of manual processes.
- Prepare payment statistics and reports.
- Involved in budget monitoring management.
- Continuously look into process improvements and implement new projects/initiatives.
- Monitor and execute assigned tasks related to projects or initiative implementations.
- Manage and monitor the performance of subordinates’ assignments.
JOB REQUIREMENTS
- Possess a bachelor's degree with honours in the field of: Accounting, Finance, Economics, Business Administration or equivalent qualifications from local or overseas higher learning institutions recognised by the Malaysian government.
- Knowledge or experience in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Competent candidates with attention to detail, holistic thinking, analytical thinking, and customer-focused competency.
- Malaysian citizen.
- Obtain a pass in Bahasa Melayu, including an oral test in Sijil Pelajaran Malaysia (SPM) level or equivalent qualification recognised by the Government.
