About the role
We are seeking a highly organised and efficient Executive Assistant to join our dynamic team at Teco Electric & Machinery in Seri Kembangan, Selangor, Malaysia. As an Executive Assistant, you will play a vital role in supporting the President of Southeast Asia by ensuring effective management of executive priorities, stakeholder communications, and regional coordination.
In addition to traditional EA responsibilities, the role will provide support functions in Customer Relationship Management (CRM) to strengthen customer data accuracy, reporting, and engagement tracking. This position requires professionalism, confidentiality, and strong organizational skills, with the ability to act as a trusted partner to senior leadership.
Key Responsibilities
- Manage the President’s calendar across multiple time zones with accuracy and foresight.
- Organize and coordinate high-level meetings, prepare agendas, and capture action points.
- Handle complex travel arrangements, events, and external engagements.
- Prepare professional documents, reports, and presentations for regional and HQ audiences.
- Act as a point of contact and representative for the President with internal teams and external partners.
- Maintain and update CRM records to ensure accuracy and reliability of customer data.
- Support the monitoring of key opportunities, sales pipeline, and customer engagement activities.
- Generate and distribute CRM reports to provide leadership visibility.
- Facilitate cross-border projects and corporate initiatives across SEA entities.
- Coordinate internal communications, regional events, and leadership engagements.
- Track and follow up on action items to ensure alignment with strategic priorities.
Requirements
- Minimum 5 years’ proven experience as an Executive Assistant, ideally supporting senior management or C-level executives.
- Proven ability to manage executive-level communications, confidentiality, and complex schedules.
- Familiarity with CRM platforms (e.g., Salesforce, HubSpot, Zoho) preferred; willingness to learn required.
- Strong organizational and problem-solving skills, with the ability to anticipate needs.
- Excellent communication skills (verbal and written), with confidence in engaging stakeholders at all levels.
- Fluent in English (spoken and written) is required. Proficiency in additional SEA languages is an advantage.
- High proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook); strong digital fluency.
- Demonstrated integrity, discretion, and trustworthiness.
