A leading company in Malaysia is seeking an Executive Assistant to support the CEO in various initiatives, including project management, communication tasks, and administrative support. The ideal candidate will possess a Bachelor’s degree and have extensive experience in executive roles. This position offers a dynamic work environment that requires discretion, exceptional communication skills, and a proactive approach to executive support.
· Assist in tracking strategic initiatives, providing updates, and ensuring execution across departments.
· Conduct research, compile data, and prepare reports and presentations for internal and external use.
· Represent the CEO in internal meetings when necessary and follow up on action items.
2. Executive Communication
· Draft and proofread communications, emails, memos, and speeches on behalf of the CEO.
· Coordinate communication between the CEO and stakeholders including senior executives, board members, investors, partners, and staff.
· Prepare briefing documents and agendas for meetings, events, and public engagements.
3. Project Management
· Manage special projects and initiatives that are cross-functional and time-sensitive.
· Track project progress, follow up with stakeholders, and ensure timely delivery.
· Maintain confidentiality and exercise discretion in handling sensitive information.
4. Administrative & Scheduling Support
· Manage the CEO’s calendar, schedule appointments, and coordinate travel arrangements.
· Organize and prioritize emails and other communications, flagging critical issues for attention.
· Support in organizing company events, board meetings, and off-site planning sessions.
· Serve as a liaison between the CEO and various departments, ensuring alignment and clarity.
· Facilitate smooth information flow and remove communication bottlenecks.
A. Job Requirements
1. Bachelor’s degree in business, Economics, Communications, or related field (master’s preferred).
2. 3–7 years of experience in management consulting, executive support, or project management.
3. Exceptional written and verbal communication skills.
4. Strong analytical skills and ability to handle multiple priorities in a fast-paced environment.
5. High level of discretion, integrity, and professionalism.
6. Proficient in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Notion, Trello).
7. Prior experience working with C-level executives is a strong advantage.
