Job summary

A leading company in Malaysia is looking for a Personal Assistant to support the CEO. The role includes managing schedules, handling communications, and assisting with personal and business tasks. Candidates must have strong Mandarin proficiency and 3-5 years of relevant experience. The ability to maintain confidentiality and adapt to changing tasks is essential.

Qualifications

  • Minimum 3 to 5 years of experience as a Personal Assistant or similar role.
  • Must possess a valid driver’s license with a clean driving record.
  • Flexibility to adapt to changing schedules and tasks.

Responsibilities

  • Manage and resolve the CEO’s schedule, including appointments and travel arrangements.
  • Handle communication with vendors, clients, and others on behalf of the CEO.
  • Liaise with the Board of Directors for meeting arrangements.

Job description

Prepare and file documents, including reports, spreadsheets, presentations, and taking minutes.

Manage and resolve the CEO’s schedule, including meetings, appointments, and travel arrangements.

Renew business licenses and liaise with government authorities on related matters.

Act as a point of contact between the CEO and external parties.

Handle phone calls, emails, and communication with vendors, clients, and others on behalf of the CEO.

Liaise with the Board of Directors (BOD) and Company Secretary for meeting and document arrangements.

Support personal and business tasks as needed.

Maintain confidentiality when handling sensitive information.

Drive the employer for personal and business trips; ensure vehicle upkeep.

Manage the employer's driver and maid/subordinates-related matters.

Assist with ad-hoc projects and meet deadlines.

Draft letters and correspondence on behalf of the employer.

Assist with sourcing materials and requesting quotations.

In charge of CSR and ESG assignments/projects.

Pre-screen job candidates, vendors, and potential clients on behalf of the CEO.

Perform any ad-hoc assignments from time to time.

Malaysian Only.

Mandatory Mandarin proficiency due to clientele and stakeholders originating from China.

Minimum diploma qualification or above.

Minimum 3 to 5 years of experience as a Personal Assistant, Executive Assistant, or similar role.

Proficiency in Microsoft Office and other office management tools.

Excellent organizational and time management skills.

Strong verbal and written communication skills.

Ability to work under pressure and meet tight deadlines.

Must possess a valid driver’s license and a clean driving record.

Flexibility to adapt to changing schedules and tasks.
