A leading jewelry brand in Malaysia seeks an Executive Assistant to support C-level leadership with complex calendar management, meeting coordination, and project updates. Ideal candidates will have a degree in Business Administration and 3+ years of experience in a similar role, bringing exceptional communication skills and proficiency in various tools.

Key Responsibilities
Calendar & Travel Management – Own complex scheduling, prepare detailed travel itineraries, and anticipate changes.
Meeting Support – Set agendas, draft minutes, follow up on action items, and ensure meeting materials are ready in advance.
Communication Gatekeeper – Screen calls, emails, and correspondence; draft high-quality letters, memos, and reports.
Project Coordination – Track key corporate projects, gather updates from stakeholders, and produce concise status briefs.
Document & Data Management – Maintain filing systems (physical and digital), handle confidential records, and prepare presentations.
Expense & Budget Tracking – Process reimbursements, manage petty cash, and compile monthly expense reports for leadership review.
Stakeholder Liaison – Host visitors, arrange events, and coordinate with external partners, vendors, and government agencies.
Research & Analysis – Conduct quick research on vendors, market data, or policy updates and summarize insights for decision-making.
General Office Support – Oversee office supplies, IT/service requests, and create streamlined SOPs for administrative tasks.
Required Skills & Qualifications
3+ years as an Executive/Personal Assistant supporting C-level leadership.
Bachelor’s Degree in Business Administration or related field (or equivalent experience).
Exceptional written and spoken English; additional languages an advantage.
Proficient in using Notion and enjoy working with it.
Expert in Microsoft 365 / Google Workspace; adept with virtual meeting tools.
Proven ability to handle confidential information with discretion and good judgment.
Strong prioritization, problem-solving, and multitasking abilities in a fast-paced environment.
Flexible, proactive, and able to work occasional evenings/weekends or travel as needed.
Preferred
Familiarity with basic accounting or HR processes.
