RESPONSIBILITIES
- Manage the executive's calendar, including scheduling meetings, appointments, and conference calls across multiple time zones.
- Handle all correspondence, including emails, calls, and internal/external communications, ensuring prompt and professional responses.
- Prepare reports, presentations, and briefing materials for meetings and business development initiatives.
- Maintain records, filing systems, and databases relevant to international business operations.
- Arrange complex international and domestic travel, including visas, flights, accommodations, and itineraries.
- Ensure smooth logistics for business trips, including meeting scheduling, local transport, and event coordination.
- Process and track travel expenses and reimbursements in compliance with company policies.
- Serve as the primary point of contact between the Head of International Business Development and internal/external stakeholders.
- Assist in coordinating global business relationships, including correspondence with international clients, partners, and government entities.
- Support the preparation of meeting agendas, follow-ups, and action items to ensure progress on strategic initiatives.
- Assist with market research, competitor analysis, Macro and Micro Economic factors and business reports to support international expansion strategies.
- Track key international business initiatives and support execution of strategic projects.
- Collaborate with internal teams (legal, finance, admin, operations) to facilitate business development activities and ensure compliance with international business regulations.
- Plan and organize business development events, and client meetings.
- Handle registrations, event logistics, and post-event follow-ups to maximize business opportunities.
- Manage highly sensitive business and financial information with the utmost confidentiality.
- Exercise sound judgment in decision-making and problem-solving on behalf of the executive.
QUALIFICATIONS
- Bachelor's degree in Business Administration, International Business, Communications, economics, or a related field.
- 8+ years of experience as an Executive Assistant or in a similar role, preferably supporting C-suite executives or senior leadership in an international business environment.
- Experience in business development, project coordination, or strategic support is a plus.
- Experience in a multinational corporation, Public listed firms, consulting firm, or international business development role.
- Proficiency in English and Bahasa Melayu is a must, including ability to translate documents for official correspondence with the different government departments in Malaysia.
- Experience in the power generation industry and renewable power generation industry.
