Job summary

A leading university college is seeking an Executive for Administrative and Student Services to provide comprehensive support, manage student services, and assist in strategic planning. Administrative Support: Provide general administrative support to School, staff, and
students, including answering phones, responding to emails, and handling inquiries. Manage
calendars and schedules for School and administrative staff, including scheduling
appointments, meetings, and events.

Document Preparation, Data Entry and Record Keeping: Prepare and format documents,
reports, presentations, meeting minutes and other materials as needed. Perform data entry
tasks, maintain accurate records, and update databases and spreadsheets as required.

Correspondence, Filing and Organization: Draft and proofread correspondence, memos,
and other written communications on behalf of School or administrative staff. Maintain
filing systems, both physical and electronic, ensuring documents are organized and easily
accessible.

Meeting Support and Event Coordination: Coordinate logistics for meetings, including room
reservations, audio-visual equipment setup, and catering arrangements. Assist in planning
and organizing university college events, workshops, conferences, and other activities.

Student Support: Provide support to students, including assisting with registration, course
scheduling, and other administrative tasks related to student services.

Strategic Planning Support: Assist in the development and implementation of strategic
plans, goals, and objectives for the university college's administrative functions.

Student Services

Manage the overall running of the Student Services Unit.

Liaise with the Student Council, societies and clubs to organize student activities.

Deal with student services such as complaints, requests, problems, etc.

Prepare, edits, and revises Student policies to suit University College contexts and formats.

Enforces, oversees and / or implements policies and procedures on a range of student services support and welfare such as claims; coordinates and enforces students' policies and procedures, and ensures compatibility with operating policies.

Determines and interprets student services needs on an individual basis, advises students on policy issues, acts as student advocate and resolves problems as necessary.

Administers the Students' financial aid in accordance with established policies and procedures.

Provides broad support in the administration and daily operations of student services.

Liaise with colleges / universities in the country to organize inter-college / university student activities.

Liaise with the Heads and Lecturers of all Schools / Departments on matters relating to student affairs.

Establish the University College Alumni, build engagement and connection through events and professional support.

Organise / assist in / attend University College functions.

Cooperate with the Marketing & Recruitment and International office to deal with matters pertaining to student welfare, events, etc.

Prepare reports on department matters eg. student activities, hostel management, etc.

REQUIREMENTS:

The candidate must possess at least a Diploma, Bachelor's Degree/Post Graduate Diploma/Professional Degree in the related field.

Required language(s): Proficient in English, Bahasa Malaysia, Mandarin to effectively communicate with Mandarin-speaking clients.

Preferably 1 to 2 years of working experience.

Good time management, organisational, communication and interpersonal skills.

Ability to multi-task and interact with all levels of people.

Experience in the education industry would be an added advantage.

Able and willing to take additional responsibilities, passionate and keen to learn and apply
new knowledge and skills.
