Job Description: Executive - Account & Administration
Role Overview
The Finance & Administration Executive supports the smooth operation of the childcare centre by managing all financial processes and providing essential administrative support. This role oversees daily accounting tasks, fee management, payroll preparation, budgeting assistance, and vendor billing. This role combines administrative and financial responsibilities, with a strong emphasis on accounting and reporting.
Finance & Accounting
- Accounting: Maintain accurate daily financial records, reconcile bank statements, and ensure timely tracking and follow-up of outstanding payments.
- Fee Management: Oversee invoicing, receipts, monthly fee statements, and financial transactions related to registration, deposits, refunds, and government funding claims.
- Budgeting & Financial Planning: Support annual budget development, monitor expenditure, prepare cash flow projections, and identify areas for cost optimisation.
- Vendor & Billing Management: Manage vendor invoices, payments, contracts, and renewals while obtaining competitive quotations and supporting procurement decisions.
- Reporting & Compliance: Produce monthly financial reports, maintain organised audit‑ready documentation, and ensure adherence to regulatory and funding requirements.
- Any other ad‑hoc projects from time to time.
Operations & Administration
- Provide general administrative support to the Centre Manager and teaching staff.
- Liaise with parents, vendors, and regulatory bodies on operational matters.
- Prepare posters, newsletters, and simple marketing materials.
- Coordinate events, enrolments, and centre activities.
- Support teachers with admin needs (printing, forms, materials).
- Oversee daily administrative and operational functions of the centre.
- Ensure compliance with licensing, health, and safety regulations.
- Support staff scheduling, attendance tracking, and manpower planning, when needed.
- Provide administrative support to the Centre Manager and teaching staff.
- Any other ad‑hoc projects from time to time.
Requirements
- Degree in Accounting, Business Administration, or related field.
- Fresh Graduates are welcome to apply! 2–3 years of experience in operations or accounting; childcare/education sector experience is an advantage.
- Strong knowledge of financial processes and proficiency in Microsoft Office/Excel.
- Good organizational, communication, and problem‑solving skills.
- Ability to work independently with attention to detail and confidentiality.
