Job description

The position is for Unipeq Sdn. Bhd., a wholly-owned subsidiary of UKM Holdings Sdn. Bhd.

Responsibilities

  1. Event Management
    • Lead the end-to-end planning and execution of events, including conferences, workshops, launches, and networking sessions.
    • Develop event concepts and schedules in collaboration with internal and external stakeholders.
    • Oversee event logistics, including venues, vendors, staffing, equipment, and supplies.
    • Ensure adherence to branding, health and safety, and risk management standards.
    • Lead the post-event evaluation process and report on outcomes and lessons learned.
    • Coordinate logistics for events (venue, vendors, catering, materials, etc.).
    • Manage event registration, invitations, and participant follow-up.
    • Prepare event documents, kits, and signage.
    • Liaise with service providers and ensure timely delivery of services.
    • Provide on-site support and troubleshooting during events.
  2. Program Management
    • Coordinate multiple events and activities under a unified program strategy.
    • Develop and update program work plans and timelines.
    • Ensure integration across different initiatives and consistency in quality and messaging.
    • Monitor budget utilization, resources, and timelines across the program.
    • Assist in preparing and updating program work plans and schedules.
    • Support communication with partners, participants, and stakeholders.
    • Maintain databases, mailing lists, and documentation.
  3. Project Management
    • Develop and implement project management frameworks (e.g., Gantt charts, risk registers, reporting templates).
    • Track milestones, deliverables, and performance indicators.
    • Manage stakeholder engagement and reporting.
    • Ensure compliance with donor, partner, or organizational requirements.
    • Track progress of project activities against timelines and deliverables.
    • Prepare meeting notes, activity reports, and budget summaries.
    • Coordinate procurement of goods and services in line with organizational policies.
    • Contribute to risk tracking, issue logs, and evaluation processes.
