Events & Engagements Specialists (EESs) within Global Meetings & Events, part of the Procurement Services tower, are responsible for implementing event plans and managing operational activities related to services provided by Scientific External Experts (SEE) and Health Care Organizations (HCO) during events. They lead the end-to-end process for various event types including internal events, congresses, conventions, advisory boards, speaker training, and virtual engagements.

Main responsibilities

As an Events & Engagements Specialist, you will be responsible for the seamless execution of a wide range of internal and external events, as well as managing engagements with healthcare professionals and external experts. This role requires strong coordination, compliance awareness, and stakeholder collaboration to ensure impactful, efficient, and compliant event delivery across regions.

On Events
  • Partner directly or indirectly through third-party agencies with transversal brand teams, creative agencies, HCOs, associations, and exhibit vendors to deliver a seamless end-to-end event experience that meets or exceeds the expectations of internal and external stakeholders.
  • Provide input on site selection, service contractors, contract negotiations, and budget planning. Facilitate vendor selection as needed.
  • Ensure adherence to company policies, particularly those related to transparency and compliance.
  • Manage remote meetings through local vendors and provide technical and analytical support for hybrid and virtual meetings.
  • Coordinate logistics such as hotel accommodations, transportation, communication, and facility support, either directly or via third-party agencies.
  • Plan and oversee various types of meetings, identify risks early, and implement mitigation plans. Manage all logistics including attendee registration, data management, speaker communications, audiovisual needs, and off-site arrangements. Hands-on program management may be required in certain cases.
  • Ensure effective budget tracking, financial reconciliation, and post-event reporting to identify cost efficiencies and process improvements.
  • Act as a subject-matter expert for implementing and training users on event technology platforms. Provide technical support and data analysis using tools such as Veeva Vault CRM Events Management, SpotMe, and Cvent.
On Engagements
  • Depending on the event type, oversee or manage activities related to SEE/HCO/patient engagement for event-related services—from event creation and approval to invitations, contract signatures, financial approvals, post-event invoicing, and transparency disclosures.
  • Provide input to the Global Rationale Form, if required, for event and engagement approval.
  • Create and support the completion of Service Agreements using One Sanofi tools and platforms. Manage reviews and approvals via the One Sanofi transparency approval and reporting tool. Coordinate agreement signatures by communicating with both internal and external parties, including the Contract Management team for complex agreements.
  • Manage financial approvals and post-event invoice payments.
  • Monitor and report on follow-up actions and planning status related to SEE/HCO engagements. Update all related budgets and forecasts.
  • Deliver the best end-to-end experience for internal and external stakeholders through event planning, execution, and tracking.
  • Share knowledge and best practices with peers and stakeholders.
  • Develop strong working relationships through open and transparent communication in all directions.
  • Ensure vendors and partners consistently meet or exceed expectations by performing continuous evaluations of services and processes.
  • Provide timely and accurate metrics on event management performance, as well as transparency and compliance indicators.
About you
  • Experience: Minimum 3–5 years in event planning, contracting, or operational support, preferably in the pharmaceutical/life sciences industry or other regulated markets.
  • Soft Skills: Strong stakeholder engagement, attention to detail, customer orientation, and adaptability. Able to work independently in a fast-paced, multicultural environment with urgency and accountability.
  • Technical Skills: Proficiency in Microsoft Office suite. Hands-on experience with tools like Veeva Vault CRM, Cvent, SpotMe, or similar event/contracting platforms is strongly preferred.
  • Education: Graduate or Postgraduate in Business, Life Sciences, or related disciplines.
  • Languages: Fluency in English (spoken and written) is required; proficiency in Korean language (spoken and written) is a must, and in other key market languages (Spanish/German/Russian/Korean/French/Italian/Turkish/Portuguese), with a minimum level of B2/C1 as applicable.
