Job description

Collaborate with cross-functional teams, including marketing, sales, operations, and finance, to ensure seamless execution of events.

Manage attendee registrations, confirmations, and databases.

Maintain and update comprehensive databases of event participants, clients, suppliers, sponsors, and other stakeholders, ensuring the accuracy of contact details, preferences, and special requirements.

Communicate event requirements, timelines, and deliverables effectively to all relevant stakeholders. Partner with the marketing team to align event messaging and promotional activities.

Oversee logistical coordination for events, working closely with the finance department to manage budgets and financial reporting.

Build and maintain strong relationships across departments to ensure effective collaboration and a cohesive event experience.

Be present during events to oversee on-site execution, coordinating with event staff, volunteers, and vendors, as well as addressing any issues that may arise.

Streamline email communications with parents, providing timely and precise updates about all camp programs.

Provide administrative support for events, including tasks such as raising expense reports, booking flights, reserving venues, coordinating catering services, managing registration and attendee lists, preparing event materials, overseeing logistics, managing participant communications, and handling travel arrangements. Utilise tools like Typeform and HubSpot for surveys and feedback.

Excellent written and verbal communication skills in English.
