Job summary

JDE Peet’s Malaysia is seeking an Engineering Admin to support documentation, data entry and SOP compliance across projects, leveraging MOS for disciplined execution.

You will track project progress with cross-functional teams including Procurement and Finance, ensure timely updates, and help achieve safety, quality and cost targets while maintaining strong engagement with the engineering group.

Qualifications

• Minimum Diploma in Engineering, Manufacturing, Science or related field.
• 0–2 years in administration or manufacturing environment.
• Proficient in MS Office and ERP systems.

Responsibilities

• Provide admin support to the Engineering Department to ensure accurate documentation and data entry.
• Track projects and update progress to support business targets.
• Coordinate with cross-functional teams including Procurement and Finance.
• Use MOS to drive disciplined execution and continuous improvement.
• Assist SHE, Quality, and project teams in compliance.
• Prepare engineering scope, costing, and CAPEXPro/SAP documentation.
• Raise PRs in SharePoint and process goods receipts in SAP.
• Maintain monthly cost reporting and budget tracking.
• Organize routine department meetings and HR coordination.

Job description

To provide administrative support for Engineering Department in ensuring accurate documentation, timely data entry, and compliance with standard operating procedures to facilitate smooth project execution and activities.

The Engineering Admin is accountable for delivering projects tracking and update to support the plant’s Compelling Business Need (CBN) targets, including zero safety incidents, zero quality losses, cost savings, efficiency improvement, 100% customer service level, and strong employee engagement.

The role assist the team in execute the projects end-to-end, from concept to commissioning, ensuring delivery on time, within budget, and in scope, while leveraging the Manufacturing Operating System (MOS) to drive disciplined execution and continuous improvement.

He/She will work closely with cross-functional teams (individual respective Project Manager), Procurement and Finance in ensuring project status update / progress communicate wisely across the organization.

Safety Health and Environment:

• Work closely with the Safety Health and Environment as department representative in ensuring all the requirements, legislation implementation and compliance within the department to legal and corporate standards & policies in all projects and installations as an example LOTOTO – Lock Out Tag Out Test Out, permit to work, hazard work permits, behavioral observation safety, auditing and process isolations.
• Assisting on the managing of contractors in the work area.
• Work with the SHE Team as department representative in ensuring all the safety, health and environment aspect comply and meet the expectation of JDE Global, Regional and local authority requirements.

Quality:

• Work closely with the Quality Team as department representative in ensuring all the quality related aspect comply and meet the expectation of JDE Global, Regional and local authority requirements.

Delivery & Cost:

Project Management :

• Engage, communicate and update tracker (CAPEXPro, Microsoft Excel & SAP) on regular basis with all relevant associates through the whole lifecycle of the project to ensure that the project deliverables meets all practical requirements (maintenance, operation, training, etc).

Project Planning:

• Responsible to engage, communicate and update tracker (CAPEXPro, Microsoft Excel & SAP) with each Project Manager/Lead, Start Up Leader & Engineering Person In-charge for engineering scoping, costing and capital expenditure request document preparation using the appropriate standards, processes and procedures aligned with the expectation and requirement by the stakeholders.
• Communicate and follow up the approval process in CAPEXPro / SAP with the approver.

Project Execution:

• Monitoring the cost of individual project through SAP system vs budgetary.
• Raise Purchase Requisition, PR in Share Point and perform Good Receipt, GR in the SAP for engineering related projects.
• Responsible in ensuring project cost monitoring in SAP and CAPEXPro accurate reporting, actual versus budget using the appropriate standards to report actual, commitment, and remaining budget spend on a monthly basis.

Project Close-Out:

• Responsible to update overall project status in CAPEXPro by engaging each Project Manager/Lead, Start Up Leader & Engineering Person In-charge.

People:

• Responsible in organizing routine department meeting / catch up.
• Work closely with the HR Team as department representative in ensuring all the people related aspect comply and meet the expectation of JDE Global, Regional and local authority request or requirements.

Qualifications

Education:

Minimum Diploma in Engineering, Manufacturing, Science or related field.

Must have:

• 0–2 years in administration or manufacturing environment (entry level).

Skills:

• Basic proficiency in MS Office (Excel, Word, Power Point).
• Familiarity with ERP systems (SAP or similar) is an advantage.
• Strong attention to detail and organizational skills.
• Ability to work in a fast-paced environment and follow instructions.
• Good communication and teamwork skills.
