Our Client:
We are partnering with a German-based MNC that specializes in manufacturing of high-precision test and measurement equipment, secure communications systems, broadcasting solutions, and cybersecurity technologies. The company is expanding their Malaysia operations and looking for an Order Admin Processing Executive as part of their strategic growth.
Responsibilities:
- Manage the end-to-end cycle of service-related documents, including quotation preparation, internal requisitions, and purchase order generation.
- Oversee service order entries and maintain accurate records using the company’s ERP system.
- Monitor service-related inventory and track item movements, ensuring proper documentation and compliance.
- Coordinate spare parts requisitioning and return processes, ensuring critical items are stocked and tracked properly.
- Liaise with internal departments such as logistics and order processing to ensure seamless spare parts handling and timely execution of service requests.
- Maintain departmental documentation and ensure compliance with internal quality and procedural standards.
- Support ISO documentation upkeep and work closely with relevant teams to ensure operational practices align with quality requirements.
- Prepare and draft reports, internal correspondence, and meeting materials when needed.
- Provide general administrative assistance to the service team.
- Support internal events and business functions organized by the department.
- Perform other assigned duties as required by departmental leadership.
Requirements:
- Degree or equivalent in any discipline.
- At least 3 years of relevant administrative or service operations experience.
- Strong organizational and communication skills with the ability to manage multiple tasks.
- Proficient in ERP systems and Microsoft Office tools (Excel, Word, PowerPoint, Visio).
- Independent, detail-oriented, and capable of working under pressure.
- Fluent in both English and Bahasa Malaysia.
