Role Overview:

The HR & Administration Assistant provides day‑to‑day HR and administrative support, ensuring accurate record‑keeping, smooth business operations, and a positive employee experience. This role blends hands‑on HR tasks—recruitment, onboarding, and employee queries—with office administration and ERP documentation such as Goods Receipt Notes (GRNs) and purchase‑order (PO) processing.

Key Responsibilities:

  • HR Documentation & Records - Keep personnel files and contracts up‑to‑date, and prepare standard HR letters and forms in line with confidentiality and audit requirements.
  • Recruitment Coordination - Screen resumes, shortlist candidates, schedule interviews with hiring managers, and maintain an accurate applicant‑tracking log.
  • Onboarding & Offboarding - Coordinate new‑hire paperwork, workspace/IT set‑up, and orientation; manage exit clearances, asset return, and record updates.
  • Employee & Office Support - Respond to staff questions on HR policies and benefits, and provide day‑to‑day assistance with basic office and vendor matters.
  • ERP & Purchasing Support - Create Goods Receipt Notes (GRNs), process purchase orders in the ERP system, and work with manager to clear invoices and approvals.
  • Reporting & Metrics - Compile weekly snapshots covering headcount, recruitment pipeline, and PO/GRN status, flagging any variances to the HR Manager.

Qualifications:

  • Diploma or Degree in Human Resources, Business Administration, or a related field.
  • Up to 1 year of experience in HR support preferred; motivated fresh graduates with strong internship or project exposure are welcome to apply.
  • Keen attention to detail, excellent organisational skills, and the ability to manage multiple priorities.
  • Clear written and verbal communication skills; comfortable interacting with colleagues at all levels.
  • Proven discretion and respect for confidentiality when handling sensitive HR data.
  • Conversational proficiency in Chinese and English is preferred.
