Key Responsibilities:

• Assign task to worker to be completed
• Work order for incoming team (rework activities)
• Work order for repacking activities
• Assigned worker to do cycle count for item in warehouse randomly
• Reporting the effectiveness of warehouse activities
• Cycle Count report monthly
• Incoming check sheet report
• Delivery Status Report
• Cleanliness Report
• Quality & Safety report
• Organizing and maintaining inventory and storage area
• Do cycle count every month for checking accuracy of the stock in warehouse
• Checking location and do transfer location for the item
• Alert Leader on slow-movement and/or aged goods
• Rearrange item’s location base on FEFO
• Ensure shipments’ and inventory transactions’ accuracy
• INCOMING
  • Recheck the physical incoming check sheet and do complaint on any issue happen during receiving to procurement department for continuous improvement
  • Follow up any complaint issue regarding incoming process
• DELIVERY
  • Monitor delivery arrangement for all DO’s issued by sales operation
  • Do complaint on any issue rise up by warehouse team to sale operation in the email to make sure the smooth process in delivery arrangement on the next day
  • Work together with QC Team on customer complaint within the response time
• Preventive Maintenance & Warehouse Management
• Deal and follow up with supplier or contractor on maintenance issue
• Discuss with superior on the issue thoroughly
• Deal with supplier on the technical issue – lorry, reach truck, air conditioner, warehouse condition
• Manage housekeeping to ensure cleanliness at all time
• Manage safety of warehouse accordingly
• Checking & purchase the packaging material
• Open PO for packaging material and Email the PO to supplier to proceed the order
• Manage packing materials efficiently to reduce wastage and reduce costs
• Cycle count for packing materials
• Find the new supplier for any machinery, equipment or packaging material
• At least 3 quotations for each item for comparison on the costing and the performance
• Discuss with Superior on the quotation for the final decision for purchasing
• ISO, GMP, HACCP, SEDEX, HALAL Requirement
• To fulfill ISO and GMP requirement under Warehouse Operation Department
• Customer Complaints Management
• Do investigation on customer complaints (Roots cause and preventive action)
• Reply the CAR as per process time given
• Follow up the results of preventive action taken

Others:

• Office Management
• Manage housekeeping to ensure cleanliness at all time. (office, toilet, documentation)
• Ensure First Aid stock available all time

Authority:

• Manage OT schedule for Warehousing and Work Order Activity
• To rearrange plan given by Manager
• To evaluate Appraisal & KPI of incoming/delivery/logistic team together with Manager
• Approved leave when Manager not available

Key Requirements:

• Good Knowledge of proper Inventory Management (FEFO/FIFO)
• Familiarity with standard concepts and best practices in a Warehouse Management (5S practice/GEMBA/Safety Issue)
• Good Knowledge on Food Safety Management, Lean Management
• Good knowledge on ISO System, GMP & HACCP System, SEDEX system and HALAL System
• Proficient in Microsoft Office (Microsoft Word, Excel, PowerPoint, and Outlook)
• Proficient knowledge of warehouse procedure and policy
• Highly knowledge on using ERP System such as Autocount and SAP system
• Leadership Skills: Senior Warehouse Executive will need resolve conflicts, as well as keep employees motivated and on-task.
• Communication Skills: Senior Warehouse Executive will need to speak with Manager, coworkers, operators, suppliers and customers on a regular basis.
• Critical-Thinking Skills: Senior Warehouse Executive will need to devise plans of action and assess those plans regularly.
• Problem-Solving Skills: Senior Warehouse Executive will need to be ready when problems arise, or be ready to anticipate problems before they happen.
• Detail-oriented: Senior Warehouse Officer will need paying close attention to all of the small particulars when working on a task throughout warehouse operation process
• Computer Skills: Highly ability to input, retrieve and analyze data
• Organizational Skills: Multiple orders, people and many moving pieces will keep Senior Warehouse Executive on their toes.
• Ability to work with all levels of company staff
• Able to work independently and to carry out assignments to completion within parameters of instructions given.
• Able to learn new things and adapt very fast to new environment or SOP
• Highly effective supervisory skills and techniques
• Proven ability to direct and coordinate operations
• Ability to be punctual and discipline.

Willing to do overtime or work on weekends and public holidays when necessary.
