Your Role

Reporting directly to the Facilities Manager, the Facilities Assistant plays a key support role in the day-to-day delivery of facility services, ensuring operational efficiency, compliance, and service excellence across the site. The ideal candidate will demonstrate strong situational awareness of the facility environment and a working knowledge of core operational requirements including preventive maintenance programs, administrative support functions, emergency response protocols, health and safety compliance, and site-level security standards. Cross-site support may be required to ensure consistency in service delivery and alignment with broader business continuity objectives.

What you'll do
Facilities Operation
  • Assist the Facilities Manager in managing external contractors for building maintenance, cleaning, preventive maintenance, and pest control, ensuring all SLAs and KPIs are met.
  • Conduct daily building and meeting room inspections, addressing issues promptly.
  • Update the Facilities Manager on weekly floor plans of the service center.
  • Support administrative tasks such as stationery orders, stock management, and handling printer issues.
  • Act as a point of contact for departments and contractors, maintaining communication lines.
  • Liaise with service providers for activities like recycling and courier services.
  • Perform health and safety duties including risk assessments and contractor monitoring.
  • Assist in maintaining property condition through external contractors, ensuring operational readiness.
  • Support environmental management efforts, including recycling data recording.
  • Assist in preparing for security and EHS audits.
  • Ensure adherence to procedures related to purchase requisitions and invoices.
  • Maintain high security awareness and knowledge of emergency procedures.
  • Provide backup reception services when required.
  • Assist with office moves and general ad hoc support.
  • Dispatch Operation
    • Oversee daily dispatch activities including mail and package handling.
    • Liaise with courier services for scheduling pickups and deliveries.
    • Maintain logs of dispatched items with tracking details.
    • Coordinate internal distribution of documents and supplies.
    • Ensure security procedures are followed for sensitive materials.
    • Collaborate with reception and admin teams for mail handling.
    Who are you
    • Minimum Diploma or Certificate in facilities, OSH, or relevant field.
    • At least 2 years of experience in facilities operations.
    • Proficient in Bahasa Melayu and English, both written and spoken.
    • Valid driving license (B2/D).
    • Flexible to travel between sites as needed.
    • Strong interpersonal skills, organized, and attentive to detail.
    • Proficient in Microsoft Office (Word, Excel, Outlook).
