The Senior Client Operations Officer, Fund Distribution is responsible for preparing and processing Transfer Agency transactions according to defined procedures, while meeting Client service level agreements & team KPI’s/KQI’s. The role involves ensuring the accuracy and timeliness of data sent to Fund Managers, collaborating with other teams within the Fund Distribution department and the wider organization. The officer will also assist the Assistant Manager in leading the team and act as the point of contact in the absence of the Assistant Manager to ensure complete shift coverage.

Working hours: 9:00AM – 6:00PM

Responsibilities
  1. Processing Transactions
  • Input, validate, and correct transactions such as subscriptions, redemptions, transfers, and switches.
  • Report transaction issues to relevant parties.
  • Ensure all trades prior to cutoff are processed accurately and timely.
  • Monitor the client queue to maintain high service levels.
  • Verify signatures against documents, collaborating with Compliance and Register Management.
  • Follow NIGO procedures during dispatching.
  • Generic Processes
    • Generate distributions, process payments, and report to clients promptly.
    • Handle file uploads and extracts, ensuring deadlines are met and resolving errors.
    • Communicate clearly with internal teams regarding uploads, transfers, and delays.
    • Assist in creating or updating risk documentation.
    • Complete assigned tasks and projects timely.
  • Queries
    • Provide professional client service maintaining CACEIS values.
    • Communicate effectively with relevant teams.
  • Account Management
    • Manage transfer of funds and liquidity of operating bank accounts.
    • Process daily automated cash transactions and manual payments accurately.
    • Reconcile bank transactions, resolve issues, and manage outstanding payments.
  • Reporting
    • Generate and dispatch regular and ad-hoc reports.
    • Respond to report requests from internal departments and clients.
  • Policy and Procedure Review
    • Ensure deadlines are met and documents are reviewed accurately.
  • Cross Training
    • Maintain productivity during staffing shortages and high volume periods.
    • Complete relevant training programs promptly.
    Qualifications & Skills

    Must-have:

    • Degree in relevant field
    • 2-4 years experience in Transfer Agency, Securities Operations, or financial services
    • Proficiency in English (written and oral)
    • Proficiency in Mandarin and Cantonese (written and oral)
