About the role

Share Registrar Assistant Executive / Administration Service Coordinator are responsible for maintaining the share registry and all share registration work for public listed companies, including routine and corporate exercises. This role also involves handling virtual general meetings for public listed companies, which includes participant verification, audiovisual coordination, vote management, and scrutineering.

What You Will Be Accountable For

  • Maintaining the Register of Members for public company clients in compliance with relevant laws and regulations, and providing public access to the Register of Members.
  • Communicating with clients, shareholders, the public, and regulatory bodies regarding shares of public companies.
  • Processing share transfers, splitting, and consolidation of share certificates.
  • Advising on share registration matters related to corporate restructuring or exercises.
  • Handling corporate exercises such as Bonus Issues, Rights Issues, Capital Reductions, Mergers, Acquisitions, and others.
  • Generating reports on shareholders' equity structure and share movements.
  • Assisting in managing Employees' Share Schemes.
  • Distributing dividends, notices, circulars, and other shareholder communications.
  • Preparing for and assisting in general meetings (AGMs/EGMs).
  • Verifying attendance and processing shareholder votes, acting as scrutineer for polling.

  • At least 2 years of experience in administrative or customer service roles, preferably in financial services or share registration.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office and quick adaptability to new systems.
  • Attention to detail and accurate record-keeping.
  • A team player with a positive attitude.
