Job description

Job Description

  1. Responsible for ensuring company policy and procedure are successfully implemented and properly adhered to.
  2. Providing counselling to all Head of Sections on policies and procedures.
  3. Involved in recruitment by preparing job descriptions, posting ads, and working closely with HQ HR to manage the hiring process.
  4. Responsible for coordinating the foreign worker application quota to ensure smooth processes according to government rules and regulations.
  5. On-board new employees and guide them on company policy and procedures.
  6. Support the management of disciplinary and grievance issues.
  7. Ensuring proper record-keeping of employee information.
  8. Work closely with Head of Section on updating the organization chart and send it to HQ HR to keep a copy.
  9. Ensuring accurate on-time attendance records before submitting to HQ HR to process payroll.
  10. Verify and validate overtime forms submitted by Head of Section.
  11. Perform administrative tasks such as coordinating for MSPO documentation, composing and typing letters, memoranda, and other correspondence.
  12. Oversee canteen operations and social events.
  13. Work closely with colleagues on monitoring hostel repairs and checks.
  14. Seek guidance from HQ HR before liaising with the government regarding employee matters (e.g., JTK, Perkeso, etc.).
  15. Perform administration duties as required, such as monitoring company vehicle usage, business licenses, stationery, canteen operator matters, uniforms, and any other matters.
  16. Ensure administration or general clerks handle incoming calls and reply to emails.
  17. Organize storage and filing systems of paperwork, documentation control, and computer-based information.
  18. Carry out any other duties or ad hoc tasks as assigned by immediate Superior/Management.

Job Requirements

  1. Minimum Diploma in HR/Administration or its equivalent.
  2. At least three years of working experience in the same capacity, preferably in similar or related industries.
  3. Preferably bilingual in English and Bahasa Malaysia.
  4. Knowledgeable in palm oil mill administration.
