Job Purpose
To lead the planning, coordination, and execution of all sports-related events, ensuring smooth operations, member satisfaction, and alignment with club standards. The role involves overseeing event logistics, coordinating with internal and external stakeholders, and ensuring all sports facilities are properly utilized and maintained during events.
Job Responsibilities
Event Planning & Coordination
- Plan, schedule, and execute sports tournaments, leagues, and recreational events (e.g., badminton, tennis, squash, swimming, bowling, fitness challenges).
- Coordinate with relevant departments (e.g., F&B, Housekeeping, Security, Maintenance) to ensure seamless event operations.
- Prepare event proposals, timelines, budgets, and reports for approval.
Operations & Facility Readiness
- Ensure all sports facilities are prepared, safe, and compliant with club standards before, during, and after each event.
- Supervise setup and teardown activities including signage, equipment, scoring systems, and amenities.
- Coordinate staff assignments and ensure adequate manpower during events.
Customer Engagement & Service
- Act as the main point of contact for members and guests during sports events.
- Handle inquiries, feedback, and complaints promptly and professionally.
- Foster a positive and engaging environment to encourage member participation.
Safety, Compliance & Reporting
- Enforce club rules, safety procedures, and event regulations throughout the event.
- Monitor participant behavior and ensure fair play and sportsmanship.
- Submit post-event reports including attendance, feedback, incidents, and recommendations for improvement.
Team Support & Supervision
- Guide and supervise sports assistants or event crew during operations.
- Conduct event briefings and debriefings with team members.
- Assist the Sports Manager in developing and training junior staff for event support roles
Requirements
Job Requirements
- Diploma or Degree in Sports Management, Recreation, Hospitality, or related field.
- Minimum 2-3 years of experience in event coordination, preferably in a club, sports, or hospitality setting.
- Excellent communication and interpersonal skills with a member-focused mindset.
- Knowledge of various sports rules, event formats, and facility requirements.
- Willingness to work on weekends, public holidays, and flexible hours based on event schedules.
- Physically fit and able to supervise outdoor and indoor sports activities
