Job Description
The Assistant Tenant Management Manager is responsible for maintaining effective relationships between tenants and the landlord. Reporting to the Tenant Management Manager, this role ensures all tenants adhere to the terms & conditions of the Tenancy Agreement and House Rules of Toppen.
Your Responsibilities
- Serve as the key contact point for tenants regarding operational and day-to-day issues post-opening, including support, complaints, requests, and communication.
- Act as the liaison between CMO and SO for tenant-related matters.
- Coordinate training and programs with CMO and SO to enhance customer service and business performance.
- Organize tenant engagement events regularly.
- Analyze and evaluate tenants’ Monthly Gross Sales performance and propose improvements.
- Work closely with tenants to maximize their sales potential.
- Arrange meetings with underperforming tenants to understand challenges and develop support plans.
- Assist in developing lease strategies and annual lease plans with Tenant Management Manager and SO Leasing.
- Support goal setting and planning aligned with the Centre’s business and lease strategies.
- Conduct market analysis and monitor local retail competition.
- Assist in preparing the departmental annual budget and monitor expenses.
- Recommend policy and procedure improvements for ongoing enhancement.
- Maintain a comprehensive Tenant Relation Management database, updating all relevant information.
- Ensure tenant information is current in the POS system.
- Handle manual tenant sales collection and ensure all lease documentation complies with SOPs.
- Coordinate with CMO and SO on tenant-related topics.
- Support operations regarding adherence to House Rules and agreements.
- Participate in various projects, meetings, and presentations.
- Assist marketing with the Mystery Shopper survey and other customer satisfaction initiatives.
- Support the delivery of Tenant Satisfaction Index, Customer Satisfaction Index, and Brand Awareness surveys.
- Undertake the role of Duty Manager during weekends and public holidays.
- Coordinate with Finance on deposit refunds and debt collections.
Qualifications
- Professional certificate, Bachelor’s Degree, Post Graduate Diploma, or Master’s Degree in any field.
- Minimum of 7 years’ experience in commercial or retail property leasing and/or tenant management/coordination.
- Ability to understand technical systems related to tenants.
- Proactive attitude, independence, and strong organizational skills.
- Excellent communication, negotiation, and interpersonal skills.
- Ability to prioritize, handle multiple tasks, and work with urgency and attention to detail.
- Ability to build rapport at all organizational levels.
- Proficiency in English and Bahasa Malaysia, both verbal and written.
