About the job Document Controller Supervisor

Company Background:
A leading manufacturer of prefabricated modular data center solutions, specializing in the data center and power systems industry. With R&D facilities in Shanghai and high-end manufacturing plants in Shanghai and Malaysia, it delivers innovative solutions for hyperscale data center projects globally. The company is located in Johor Bahru, and the actual working location is subject to the project.

Job Description:

Document Control and Project Documentation Management:

  • Oversee the organization, recording, and filing of all project-related documentation exchanged between the project department, contractors, consultants, government agencies, and other stakeholders.
  • Review and ensure that all project documents are thoroughly checked and submitted ahead of their respective deadlines.
  • Ensure the latest approved documents and drawings are distributed to relevant internal teams and external parties, maintaining controlled copies of all materials.
  • Generate and send emails, reminder letters, and other communications to ensure timely coordination with third parties and stakeholders regarding document-related tasks.
  • Attend meetings, take minutes, and ensure follow-up on action points discussed during the meetings.
  • Monitor and supervise the overall document control system, ensuring compliance with internal standards and external regulations.

Administrative Support to Deputy Director:

  • Provide comprehensive administrative support to the Deputy Director, including managing schedules, coordinating appointments, and making travel arrangements.
  • Prepare and manage correspondence, reports, presentations, and other documents for both internal and external communication.
  • Act as the liaison between the Deputy Director and other teams, ensuring prompt and efficient handling of requests and queries.
  • Organize and coordinate meetings, ensuring agendas are prepared, materials are distributed, and action items are tracked and followed up.
  • Assist with the day-to-day operations of the Deputy Director's office, managing priorities and acting as a point of contact for internal and external stakeholders.

Supervision and Leadership:

  • Supervise and coordinate the work activities of document control staff, ensuring the efficient and accurate handling of documentation processes.
  • Train and mentor staff to ensure best practices are followed in document management and project documentation tasks.
  • Work closely with other departments to ensure smooth workflow and timely completion of documentation and administrative tasks.

Required Qualifications:

  • Diploma or Degree in a related field.
  • Familiarity with basic document management and archiving methods.
  • Experience in managing project documentation and inspection processes.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency in AutoCAD software is an advantage.
  • Proficient in both written and spoken Mandarin, essential for communication with Chinese institutions and for operating equipment featuring Mandarin interfaces.

Salary Range: RM4000-RM6000
