The Procurement Associate is responsible for executing day-to-day procurement operations, focusing on timely issuance of purchase orders, maintaining supplier communication, and ensuring on-time delivery of materials and services. This role supports efficient procurement activities, accurate data entry, and compliance with internal purchasing processes.
B. JOB DESCRIPTION
- Prepare and issue Purchase Orders (POs) based on approved requisitions, and ensure timely entry of all order details into internal procurement systems or databases.
- Track and monitor the status of all purchase orders to ensure on-time delivery; proactively follow up with suppliers to resolve any delays or discrepancies.
- Maintain effective communication with suppliers to confirm order details, monitor material acquisition, and ensure supplier performance aligns with expectations.
- Maintain accurate records of procurement transactions, supplier details, and purchase order history in compliance with documentation and audit requirements.
- Assist in sourcing new suppliers, obtaining quotations, evaluating pricing and lead times, and supporting supplier assessment processes.
- Coordinate with internal departments to clarify order specifications and align procurement activities with project or operational needs.
- Prepare and generate procurement-related reports for internal use or management review as required.
- Provide support for any additional tasks or ad hoc assignments given by the superior.
B. JOB SPECIFICATION
- Qualification: Bachelor’s Degree / Diploma in Business Administration, Operations Management, Logistics, Economics, Engineering or any other related field.
- Experiences: Minimum 3 years / 5 years of working experience in procurement management.
- Knowledge: Familiarity with procurement processes including vendor sourcing, quotation comparison, and purchase order procedures.
- Qualities: General knowledge of industry-specific materials, components, or services (e.g., oil & gas, etc) is an added advantage.
- Skills:
- Strong sense of accountability and integrity in handling purchasing activities.
- Detail-oriented with a high level of accuracy in handling procurement documents and data.
- Good communication and interpersonal skills to manage supplier relationships.
