• Greet and welcome guests as soon as they arrive at the office.
• Direct visitors to the appropriate person and office.
• Answer, screen, and forward incoming phone calls.
• Ensure the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures).
• Provide basic and accurate information in-person and via phone/email.
• Receive, sort, and distribute daily mail/deliveries.
• Maintain office security by following safety procedures and controlling access via the reception desk (e.g., monitor logbook, issue visitor badges).
• Update calendars and schedule meetings.
• To prepare and serve drinks to all guest (local and expatriate) for meetings/functions, as requested.
• To report any defect of equipment, furniture or fitting in the pantries or other office area to the Immediate Supervisor.
• To ensure tidiness and cleanliness of meeting rooms, office areas, pantries and pantry appliances at all times.
• To ensure beverage items stored in containers are stored hygienically and that containers are refilled as necessary.
• To ensure collection of dirty glassware and utensils from workstations for washing at least twice a day, morning and before end of work.
Qualification and Skills:
• Proven work experience as a Receptionist, Front Office Representative, or similar role.
• Hands-on experience with office equipment (e.g., fax machines and printers).
• Solid written and verbal communication skills.
• Ability to be resourceful and proactive when issues arise.
• Excellent organizational skills, multitasking and time-management skills, with the ability to prioritize tasks.
• Professional attitude, appearance and customer service attitude.
• High school diploma or equivalent; further training in office management is beneficial.
• Previous experience in a front office handling receptionist responsibility preferred but not required.
Language Requirement: English, Bahasa Melayu and Mandarin speakers to effectively engage with a diverse client base.
• Annual, Maternity, Paternity leave.
• EPF and SOCSO contributions.
➢ Work Arrangement: This is an on-site position.
➢ Working Hours: Monday to Friday, 9:00 AM – 6:00 PM
