About the role

We are seeking a dedicated and detail-oriented Administration professional to join our team at Advance Lube Enterprise Sdn Bhd in Kempas, Johor. This full-time role will provide essential administrative support to our operations, contributing to the smooth running of our business.

What you'll be doing

  1. General Administrative Duties
  2. Perform day-to-day administrative support, including filing, scanning, photocopying, and organizing documents.
  3. Maintain proper record-keeping systems (both digital and physical) for easy retrieval of company files.
  4. Monitor and maintain office supplies and equipment; raise requisitions when necessary.
  5. Ensure office cleanliness and coordinate with building management or cleaners when needed.
  6. Purchasing Support
  7. Request quotations for raw materials and confirm prices with management.
  8. Issue Purchase Orders (PO) and email them to suppliers.
  9. Check supplier due dates for raw materials and schedule accordingly.
  10. Inform the warehouse of schedules and arrange drivers for raw material collection.
  11. Send necessary documents to apply for permits.
  12. For shipping, check shipping documents for customs clearance and import duty exemption, including CI, PL, BL, Form E/D, LOI/LOA, K1, etc.
  13. Coordination & Reporting
  14. Liaise with other departments to gather information or support ongoing projects.
  15. Ensure compliance with company policies and procedures in all administrative and purchasing activities.
  16. Ad Hoc Duties
  17. Perform other duties or assignments as delegated by the Manager or Management.
  18. Provide backup support to other administrative staff during peak periods or absences.

What we're looking for

  1. Candidate possesses at least a Diploma, Advanced/Higher/Graduate Diploma, Bachelor's Degree in Admin or equivalent qualification in Business/Accounting.
  2. At least 1 year of working experience in a related field.
  3. Excellent computer skills, particularly in MS Excel and MS Word.
  4. Good interpersonal skills, verbal, written, and interpersonal communication skills.
  5. Good command of English and Bahasa Malaysia.
