Job description

Provide general secretarial and administrative support including word processing, document formatting, scheduling, and systematic filing.

Maintain strict confidentiality and ensure secure handling of all departmental records, reports, and documentation.

Coordinate and prepare materials for meetings including agendas, minutes, presentation slides, and follow-up actions.

Receive, monitor, organize, and track documents to ensure timely execution, distribution, and response—particularly for items requiring attention from Heads of Department or management.

Manage expense claims for the Senior Management including preparation, submission, and follow-up to ensure timely reimbursement in accordance with company policies.

Liaise professionally via telephone, email, and written correspondence with internal departments, vendors, clients, and other stakeholders on behalf of the Senior Management.

Assist in coordinating schedules, appointments, travel arrangements, and internal or external communications.

Perform any other related administrative duties as required to support the efficient functioning of the project office.

Requirements:

Bachelor Degree/Diploma in Administration or related field.

Proven experience in a secretarial or administrative support role, preferably within a project-based, engineering, or construction environment.

High proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).

Strong organizational and time management skills with the ability to multitask and meet deadlines.

Excellent verbal and written communication skills.

High level of discretion, integrity, and professionalism in handling confidential information.

Able to work independently and collaboratively within a fast-paced project environment.

Willing to work in Petaling Jaya, Selangor.

Immediate start is a plus.
