Job description

We are seeking a responsible and organized Administrative Assistant to join our team.

This role involves handling day-to-day administrative tasks including file management, communication with clients and agents, preparing quotations, and assisting the boss with various tasks as required. Candidates with basic legal knowledge and the ability to communicate in both Mandarin and English will be given priority.

Key Responsibilities:
  1. Open and manage physical files systematically.
  2. Liaise professionally with clients and agents via phone, email, and in-person.
  3. Prepare and issue quotations to agents accurately and in a timely manner.
  4. Assist the boss with administrative and coordination tasks as needed.
  5. Maintain organized records and ensure confidentiality of all documents.
  6. Provide support in simple legal document handling (basic legal knowledge preferred).
Requirements:
  • Proficiency in both Mandarin and English (spoken and written). We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.
  • Strong organizational skills and attention to detail.
  • Good communication and interpersonal skills.
  • Ability to multitask and prioritize duties efficiently.
  • Basic knowledge of legal procedures or documents is an advantage.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
