Job Scope: Personal Assistant to Managing Director (Legal & Corporate Compliance Focus)
Position Summary:
Provide dedicated support to the Managing Director in areas related to legal document review, corporate governance, and regulatory compliance. Act as a liaison between the MD and external legal or corporate secretarial service providers, while ensuring timely execution and monitoring of statutory and contractual obligations.
Key Responsibilities:
- Review, proofread, and summarize contracts, agreements, and legal documents.
- Monitor deadlines for contract renewals, compliance filings, and legal obligations.
- Assist in drafting or coordinating simple agreements, letters of intent, Non-Disclosure Agreements, and board resolutions.
- Liaise with external legal advisors and ensure proper documentation is kept.
- Maintain proper filing and tracking system for all legal and confidential documents.

- Legal Support:

- Company Secretarial Tasks / SSM Compliance:
- Coordinate with company secretary to ensure timely submission of statutory documents to SSM (e.g., Annual Returns, audited accounts, changes of directors/shareholders).
- Maintain updated statutory registers and records (e.g., directors, shareholders, share capital).
- Strong knowledge of Companies Act 1965 and Companies Act 2016
- Assist in preparing board papers, resolutions, and minutes of meetings (BOD, AGM, EGM).
- Administrative & MD Support:
- Manage MD’s calendar, schedule meetings, and handle confidential correspondences.
- Prepare and organize documents for MD’s approval or review.
- Follow up on assignments and ensure proper reporting and completion of delegated tasks.
- Coordinate internal communication or instructions from MD to departments.
- Project & Filing Support:
- Support the MD in corporate exercises such as acquisitions, restructuring, or legal disputes.
- Organize and archive key project files, legal correspondences, and due diligence documents.
Requirements:
- Basic knowledge of corporate and commercial law.
- Familiarity with SSM regulations and company secretarial functions.
- Strong organizational, multitasking, and attention-to-detail skills.
- Discretion in handling confidential and sensitive matters.
- Ability to communicate effectively in English and Bahasa Malaysia.
