Job description

We are looking for a proactive, professional, and highly organized Personal Assistant to support our Managing Director (MD). This key role is essential in ensuring the MD's day-to-day operations run seamlessly, with a strong focus on time management, coordination, and discretion. The ideal candidate is detail-oriented, reliable, and capable of managing complex schedules, handling sensitive information with the utmost confidentiality, and communicating effectively on behalf of the MD.

Responsibilities
  1. Efficiently manage the MD's calendar, organizing meetings, appointments, taking minutes, and arranging travel.
  2. Draft and manage correspondences, including letters, emails, and memos.
  3. Schedule and coordinate board meetings and appointments for VIPs/visitors.
  4. Handle sensitive and confidential information with discretion.
  5. Maintain electronic and paper records, ensuring information is organized and easily accessible.
  6. Prioritize tasks and accomplish urgent matters within tight deadlines.
  7. Ensure timely completion of tasks and projects assigned by the MD.
  8. Provide regular feedback and submit relevant reports to management.
  9. Coordinate with various departments and staff levels to communicate directives and monitor progress.
  10. Perform additional tasks as requested by the MD, including personal assistance when necessary.
Requirements
  1. Minimum 5 years of experience as a PA or in a similar role.
  2. Professional proficiency in spoken and written English and Bahasa Melayu.
  3. Proficiency in Mandarin is an advantage, as communication with Mandarin-speaking guests/vendors is required.
  4. Proficient in Microsoft Office and typing skills.
  5. Ability to work quickly and meet tight deadlines.
  6. Excellent time management and multitasking skills.
  7. Flexibility to adapt to changing priorities.
  8. Strong attention to detail and problem-solving skills.
  9. Confident, calm, mature personality.
  10. Ability to build good rapport with other HODs.
  11. Own transport and willingness to travel outstation.
