Job description

Role Purpose

Execute the delivery of efficient office administrative services to internal customers, ensure uninterrupted back-office support, support operation service delivery, and enable the smooth running of the company by assisting the head of department in undertaking activities of the overall administrative function.

In This Role You Will

  1. Provide administrative support including but not limited to:
  • Process invoices accurately, facilitate timely vendor payments, and maintain financial records.
  • Provide frontline support at the front desk, welcoming visitors, answering inquiries, and directing them appropriately to enhance the company's image and customer service standards.
  • Coordinate meeting room bookings to ensure seamless operations with no delays or double bookings.
  • Manage vehicle bookings for staff, ensuring efficient allocation and timely availability.
  • Maintain fully stocked office supplies to reduce downtime caused by shortages and ensure continuous office operations.
  • Maintain and update the CSAD filing system for important and confidential documents (both soft and hard copies).
  • Attend meetings as required by the Head of Department of CSIA.
  • Assist the Head of Department of CSAD in providing consulting activities with the internal team.
  • Assist in projects or special assignments involving the Corporate Secretarial & Administrative Department.
  • Undertake any other duties within the role's scope as determined by the Head of Department of CSAD.

    • Educational qualification: at least a bachelor’s degree.
    • At least 3 years of experience in similar roles with related tasks.
    • Proficiency in Microsoft Word and PowerPoint.
    • Good written and verbal English communication skills.
    • Experience with Document Management Systems.
    • Strong interpersonal, presentation, and analytical skills.
    • Young, dynamic, independent, and eager to learn.
    • Meticulous, capable of multitasking, and a good team player with strong ethics.
