Assistant Manager - Human Resources and Principal's Office (30048)

Sunway International School (SIS) welcomes interested candidates to submit their resumes for the above-stated vacancy with the following job specifications:

Recruitment

Monitor staff requisitions, recruitment and movement in accordance with the approved budget.

Draft and post job advertisement, and manage job advertisement portals.

Select and shortlist suitable candidates for interview; coordinate interviews and collate application documents.

Conduct interviews with hiring managers and perform reference checks.

Propose hiring and seek approval for hiring of successful candidates.

Manage pre-onboarding and onboarding for new staff: conduct induction and/or orientation, arrange accommodation and airport transfers (for expatriates), assist with opening of bank account, and follow up on any other necessary matters.

Provide consultation to staff regarding HR procedures and policies, and address concerns in related to employment terms and benefits in consultation with Sunway Education Group HR.

Administer staff welfare matters, including staff insurance, medical claims, birthday gifts, etc.

Conduct exit interviews and prepare Notice of Resignation for departing staff.

Prepare general HR administrative reports (e.g. business plan).

Verify excess teaching, part-time, overtime claim before submission to payroll.

Leave management.

Provide ongoing support and assistance to the Principal and manage daily office operations. Oversee office management in the Principal’s absence.

Maintain processes and update files, records, and/or other documents; edit and proofread materials, and assist in communications with students, parents, and other stakeholders.

Arrange and coordinate substitute classes/ periods.

Act as Assistant for committees chaired by the Principal, including the scheduling of meetings, preparation and distribution of agenda papers, and taking minutes.

Maintain confidential communication with senior administrative and management staff.

Serve as the first point of contact for all queries related to school activities and operations that involve the Principal.

Ensure that school issues are brought to the attention of the Principal and are addressed promptly and effectively.

Requirements

A Bachelor’s degree in a related field of studies.

At least four (4) years of working experience in similar capacity, i.e. HR and Executive Assistant roles.

Excellent communication and interpersonal skills, with the ability to engage and communicate effectively with stakeholders at all levels.

Meticulous, resourceful, analytical and able to work independently.

High integrity and the ability to maintain confidentiality.

Proficiency with Microsoft Office applications.
