Responsible for group-level payroll processing, HR services, operations, HR systems, compensation & benefits matters as well as developing human resource policies and procedures under rewards & HR operations.
Payroll Management
- Responsible for administering the payroll for the Executive level and above as well as all levels of employees under branches, retails and depots.
- Verifying the accuracy of salary computation prepared by HR Executive at Plant and Farm for Non-Executive level staff and below.
- To ensure the submission of a statutory contribution to ensure compliance and no penalties cases.
- To monitor and ensure timely submission of monthly related payroll reports i.e. General Ledger and Cost Centre to the Finance Department.
- Attend to payroll-related enquiries from internal stakeholders (HR Business Partners and employees) including enquiry on wages, payroll processes and procedure and external stakeholders (HR Vendor, EPF, Socso, Income Tax) troubleshoot Payroll Avenue system errors, statutory audits, etc.
HR Administration on processes and letters
- Prepare Employment Letters and all related letters for new hires.
- Prepare HR routine letters i.e. appointment, new contract/contract renewal, confirmation, employment verification, transfer, promotion, acceptance of resignation, etc.
- Manage HR processes i.e. confirmation, contract renewal, retirement, resignation, promotion, transfer etc to ensure closure.
HR Operations
- Manage overall staff personal files and information, ensuring all information/files are kept with the highest level of confidentiality and integrity.
- Attend to all queries with regards to staff matters i.e. leave management, attendance management and payroll management.
- Manage timely production, collation, storage and reporting data pertaining to organisational headcounts, labour cost, and employees’ personal records.
Human Resource policies and procedures
- To assist in developing relevant HR policies and procedures, act as the custodian of all HR policies, and guide managers accordingly.
- Advise and support on issues related to labour legislation, and disputes.
Annual Salary Review & Bonus Payout
- Involved in the preparation of annual salary review and bonus exercise.
Reporting
- Reporting on Attrition Rate, Demographics, Bursa Report, Government agencies, etc.
Employee Medical Coverage
- Medical Third Party Administrator (TPA) on outpatient, outpatient specialist and dental for staff and/or family members.
- Assist in insurance renewal Group Hospitalization & Surgical Insurance (GH&SI), Group Personal Accident (GPA), and Group Term Life (GTL).
- Handling outpatient claims and issuing guarantee letters on a need basis.
- Handling SOSCO claims submission.
Human Resource Information System (HRIS)
- Lead support for the HRIS implementation and to ensure the system meets our requirements.
- Responsible for creating permission list, users’ roles and profiles upon request from the HRIS security administrator.
- Liaison between the vendor and MIS team for technical support, system changes or upgrades, and statutory requirements changes.
- Train and guide users on the HRIS system.
- Coordinate HRIS circulation of the company’s news and information.
Industrial Relations
- Assist in industrial relations activities including handling all matters related to disciplinary actions, grievances, counselling, staff misconduct, advising and guiding management the best practice.
- Seek IR consultant (MECA) advice for all IR cases
- Provide services and support to business partners and other functional teams in Head Office and branches when required.
- Maintain and create a positive atmosphere and culture within the Company that allow for communication that ensure positive morale among employees.
Rewards
- Assist in preparing proposal relating to total rewards such as salary, compensations & benefits and incentive schemes.
- Assist in salary survey data submission and work closely with consultants on all enquiries about the rewards matters (if any)
- Assist in research and data collection on the general market as well as competitors’ reward practices
HR Processes & Documentations Audit
- Assist in preparing audit procedures and checklists and the execution process.
- Audit farms and plants HR and present the findings with gap analysis and propose the action plans.
Qualification
- Bachelor's degree in Human Resources Management or related field.
- 5-6 years of experience in HR Operations, preferably in a public listed company.
- Solid understanding of employment laws and regulations.
- Strong analytical skills with the ability to interpret data and provide insights for decision-making.
- Excellent communication and interpersonal skills.
- Proven ability to drive process improvements and implement best practices.
- Proficiency in HRIS and other relevant software applications.
