Universal Robina Corporation is looking for a Executive Assistant (Malaysia).

As an Executive Assistant, you will play a crucial role in supporting our executive. You will handle a wide range of administrative tasks, ensuring efficiency, organization, and confidentiality.

What are their Job Responsibilities:

  • Manage and organize the executive's calendar, including scheduling appointments, meetings, and events. Coordinate travel arrangements, including booking flights, hotels, and transportation.
  • Facilitate smooth communications between CMO and the organization and all external stakeholders.
  • Handle confidential information and maintain the security of the executive's records and files.
  • Gather, compile, verify and analyze information for the CMO to use in documents such as memos, letters and reports.
  • Maintain the CMO’s office and accounting records; monitor, review, approves standard expenditures to ensure that the activities of the office are conducted within established budgets. Track and reconcile expenses, process reimbursements, and maintain financial records.
  • Perform other administrative tasks using independent judgment and discretion. Prepare documents and presentation materials; screening and responding to incoming correspondence, inquiries, and phone calls; drafting letters and official information releases; arranging and attending meetings; taking and distributing minutes.
  • Plan, organize, and coordinate company events, meetings, and conferences. Assist in preparing meeting agendas, attend meetings to take notes, and follow up on action items.
  • Ensure front office services is smooth and general office hygiene is well-maintained.

Qualifications Needed:

  • Minimum 5 years related experience
  • Proven experience as a Personal Assistant or Executive Assistant.
  • Strong organizational and time-management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office and other relevant software.
  • Discretion and the ability to maintain confidentiality.
  • Detail-oriented and proactive with a positive attitude.
