Job description

We are seeking a highly organized and proactive Assistant Purchasing Manager to support the procurement operations of our F&B business. This role will focus on sourcing quality food products, managing supplier relationships, handling purchase orders, and coordinating importation and shipment logistics to ensure timely delivery and compliance with Malaysian regulations.

Key Responsibilities:

1. Lead the full procurement process: sourcing, obtaining quotations, and negotiating with suppliers.

2. Negotiate pricing, terms, and delivery schedules to optimize cost efficiency and product quality.

3. Monitor supplier performance and maintain strong relationships to ensure consistent supply.

4. Conduct market analysis and stay up to date with trends in the F&B industry.

5. Ensure timely and accurate ordering based on inventory levels and forecasted demand.

6. Process and issue purchase requests and purchase orders accurately and on time.

7. Communicate with suppliers to follow up on orders, resolve delivery issues, and ensure smooth coordination.

8. Keep accurate records of purchases, pricing, suppliers, and delivery schedules.

9. Evaluate supplier performance and conduct regular assessments.

10. Work with the operation team to inspect incoming goods, verify quantities and quality, and report discrepancies.

11. Check supplier invoices against purchase orders and resolve any issues.

12. Liaise with the finance team to ensure timely and accurate payment processing.

13. Maintain organized documentation for all purchasing and invoice records.

14. Assist in reconciling invoice differences and support monthly reporting.

15. Support the Head of Department with documentation and administrative tasks.

16. Oversee outlet maintenance, equipment servicing, and pest control scheduling with relevant vendors.

17. Coordinate importation processes, including liaising with freight forwarders, customs, and relevant government agencies for smooth import processes.

18. Ensure all import documents (invoices, packing lists, COA, health certificates, etc.) are complete and compliant with Malaysian import regulations.

19. Track shipments and resolve any delivery or customs clearance issues.

20. Collaborate with the operations and warehouse teams to monitor stock levels and avoid overstock or stockouts.

21. Assist in cost analysis and contribute to cost-saving initiatives.

22. Perform other duties as assigned by management.

Requirements:

• Diploma or Degree in Supply Chain Management, Business, Logistics, or any related field.

• Minimum 5 years of experience in F&B purchasing, with exposure to importation processes.

• Good knowledge of Malaysia's import regulations, customs procedures, and Halal certification is an advantage.

• Proficiency in Microsoft Office and procurement systems (e.g., MYOB, SQL, etc.).

• Excellent negotiation, communication, and organizational skills.

• Fluent in English and Bahasa Malaysia.

• Ability to work in a fast-paced, detail-oriented environment.
