Job Summary

We are seeking a detail-oriented and proactive Administrative Assistant to support our daily operations in a fast-paced electronic manufacturing environment. The ideal candidate will handle administrative tasks, facilitate smooth communication between Malaysian and factory teams, and ensure efficient office coordination. Proficiency in Chinese (Mandarin/Cantonese) is required to liaise with stakeholders effectively.

Key Responsibilities

Administrative Support

  • Organize and maintain physical and digital documents, including reports, invoices, and contracts.
  • Schedule and coordinate meetings, appointments, and travel arrangements for management.
  • Prepare meeting agendas, take minutes, and follow up on action items.

Communication & Coordination

  • Act as a liaison between Malaysian teams and factory staff to ensure smooth workflow and collaboration.
  • Assist in translating documents or communications (Chinese-English) when necessary.
  • Handle phone calls, emails, and internal inquiries professionally.

Operational Assistance

  • Assist in procurement, inventory tracking, and office supply management.
  • Support HR with basic onboarding tasks for new hires (e.g., preparing workstations, documentation).
  • Follow standard operating procedures (SOPs) and comply with company policies.

Additional Duties

  • Assist in ad-hoc projects, event planning, or logistics coordination as needed.
  • Maintain confidentiality and discretion in handling sensitive information.

Requirements

  • Education: Diploma or above in Business Administration, Secretarial Studies, or related field.
  • Experience: 1–2 years in administration, preferably in manufacturing or related industries.
  • Language: Fluent in Chinese (spoken/written) and proficient in English.
  • Skills:
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Organized, adaptable, and able to multitask in a dynamic environment.
  • Strong interpersonal skills for cross-team collaboration.
  • Nice to Have: Basic knowledge of ERP systems or manufacturing processes.
